Job Description

The Project Coordinator provides comprehensive and complex administrative assistance for established, new and emerging events and projects. This assistance includes logistical planning, organization, and implementation of conferences, events, and programs. Under the direction of the Assistant Director for Special Projects and Strategic Communications, the Project Coordinator is a key liaison in managing meetings and facilitating communications for the Office’s senior leadership with IU administrators, faculty, staff, and external stakeholders.

The Project Coordinator’s responsibilities also include:

1.Contributing to the development and delivery of conferences, events, and meetings by managing calendar communications, proposing and arranging schedules, maintaining project timelines, developing contact lists, and documenting standard operating procedures.

2.Responding to inquiries, providing updates, and facilitating effective communications with academic officers and staff on all IU campuses, campus partners, conference participants, and vendors.

3.Developing and implementing post-event surveys for data collection and analysis, and generating summaries, reports and presentations for a variety of audiences.

4.Securing vendor quotes/agreements as well as tracking and maintaining financial summaries as they relate to expenditures for all special projects, conferences and events.


Job Requirements

REQUIRED: Bachelor’s degree and two years of applied experience working in an environment involving complex communications, public relations, project management and fiscal responsibilities.


Possess a valid driver’s license with the ability to be insured by Indiana University.


Proficiency using word processing, spreadsheet, and university information systems. Demonstrated skills in complex communications and information analysis. Ability to observe and evaluate resource needs for individuals, teams. Ability to analyze and manage financial information. Demonstrated ability to engage with a variety of constituents in a fast moving and dynamic environment while maintaining a diplomatic and confidential approach.


Preferred Qualifications 

Experience in a higher education setting; knowledge of university administrative systems, policies and procedures.


Working Conditions / Physical Demands 

The Project Coordinator reports to the office and largely works from 8:00am to 5:00pm. This position requires the ability to travel in support of events held on other IU campuses.
