A little about the job
Importance: The Office Manager serves as the primary leader and supervisor in the daily business operations of the clinic by supporting the best team in dentistry to provide the best patient care. Collaborates with the Lead Doctor to align the clinic with the core purpose and beliefs of the company, with strong focus on teamwork and patient experience. Manages the operational procedures, protocols and processes, and the daily financial success of the practice, to help the clinic and company run efficiently.
Responsibilities:
- Creates a culture of continuous improvement, learning, teamwork, professionalism, and commitment to excellence consistent with the mission, vision and values of the organization.
- Manages the consistency of the clinic’s operations in relation to company processes, policies and procedures, and regulatory obligations.
- Completes clinic operations work as needed, including front office responsibilities or clinical support (as appropriate).
- Operates with integrity and treats others with respect. Fosters an environment of openness, trust, teamwork, and staff development.
- Executes the clinic strategies and operations to ensure alignment with the company’s objectives in conjunction with the Lead Doctor and Clinic Administrator.
- Serves as primary operations point of contact and provides customer service to patients and staff.
- Leads the overall operational clinic goals, including exceptional service, quality, financial and staff performance. Continually evaluates workflows and outcomes.
- Oversees front office and clinical staff resource allocation within and across clinics for smooth and efficient business operations.
- Supports hiring, onboarding, training, mentoring and developing staff. Evaluates staff training needs, provides on-the-job training, and recruits support for additional training needs.
- In conjunction with human resources, conducts routine performance reviews and addresses employee performance issues.
- Reviews patient feedback and engages the team to develop action plans that improve the patient experience.
- Promptly addresses escalated patient concerns with the Clinic Administrator.
- Supports and ensures promotion and implementation of clinic marketing and community outreach efforts to increase patient growth and satisfaction.

Qualifications:
- Bachelor’s degree in business, management or healthcare, or equivalent experience preferred.
- 3+ years of management experience preferred, ideally in the dental or health care industry.
- 2+ years of experience in an orthodontics environment is highly preferred.
- 2+ years of dental or health care operations experience preferred, including front office or clinical services.
- Demonstrates strong leadership ability. Exhibits professionalism in respecting and honoring confidential and sensitive information.
- Takes initiative and exercises good judgment. Seeks help and collaborates with others in formulating solutions.
- Commitment to excellent internal and external customer service.
- Coaches, motivates and mentors others to deliver excellent patient care. Exercises patience and shows respect to patients and staff.
- Observant and attentive to the flow of the practice. Anticipates needs and solves problems.
- Dentrix Enterprise or other electronic health record software knowledge strongly preferred.
- Must be comfortable working with computers and analyzing complex data. MS Office experience (Word, Excel, and Outlook) strongly preferred.
