POSITION SUMMARY:This position is responsible for maintaining the financial records for the property. She/He verifies, allocates and posts details of business transactions to accounts or computer files from documents such as sales slips, invoices, receipts, check stubs and computer records. As required, she/he performs other duties such as maintenance of the resident information systems or resident files, reconciliations, and interacts with residents and banks.



ESSENTIAL DUTIES AND RESPONSIBILITIES A bookkeeper’s duties/responsibilities include, but are not limited to, the following:


  • Maintain the financial records of the property.

  • Verifies, allocates and posts to MRI details of business transactions to accounts.

  • Helps prepare monthly owners report by providing property manager with necessary information.
  • Interacts with residents, answering questions concerning rent and/or utility payments and/or service charges made to the resident.
  • May review all contracts with vendors for proper terms and conditions and payment terms.
  • Assist in making sure that all deposits generated from collections are being deposited daily.
  • Adhere to all appropriate company account directives.
  • Assist in working within the established budget and maintaining budgetary control.
  • Maintain business like demeanor in dress and conduct.
  • Assist in leasing as needed.
  • Advise the Property Manager on any conditions, situations, or anything else that could otherwise affect the performance of the property.
  • Maintain and submit replacement reserve invoices per HG policy.
  • Maintain courteous communications with residents, applications and representatives of other companies.
  • Other duties as assigned.

  • Always maintain a positive attitude and a smile.



WORK SCHEDULE:


  • The Bookkeeper shall adhere to the work schedule as set forth by the company.

  • In the event an absence becomes necessary, notify your Property Manager before your schedule start time. Leaving a message with another employee or the answering service is not acceptable
  • Time-off must be approved by your Property Manager and should be requested at least 24 hours in advance.



PERFORMANCE MEASUREMENTS: Performance is measured on closing ratio as well as availability, occupancy and market conditions.

RESPONSIBILITIES:
This job has no supervisory responsibilities.



QUALIFICATIONS:
To perform this job

EDUCATION
and/or EXPERIENCE:
High school diploma or general education degree (GED); Associates degree preferred. Two to five years related experience and/or training; or equivalent combination of education and experience. Experience with Excel spreadsheets (intermediate level) and accounting software – MRI preferred.



LANGUAGE SKILLS: Ability to read and interpret documents such as income statements, operating budgets, and procedure manuals. Ability to write routine reports and correspondence.



MATHEMATICAL SKILLS: Individual should have strong mathematical skills and abilities.



REASONING ABILITY
:
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
