Job SummaryThe Cardiovascular Surgery Scheduler works with the physicians, advance practice providers and caregivers to ensure the delivery of efficient and quality medical services to the patients and referring physicians we serve. The Cardiovascular Surgery Scheduler is to provide a communication link between all parties involved in the provision of cardiovascular surgery to patients and their families to ensure effective and efficient processes and to achieve the highest quality of care and patient experience. The Cardiovascular Surgery Scheduler schedules exams, answers telephone calls, and faxes requests for any needed tests and preauthorizations done prior to surgery. This individual communicates with other schedulers, physician offices, nurses, and technical staff to schedule the needed exams or tests for the patients. This position requires an in-depth understanding of the services provided and the limitations of staff providing the services. The Cardiovascular Surgery Scheduler has responsibility for maintaining EMR scheduling templates and serves as a cardiovascular surgery resource for other clinic and hospital caregivers.
●Reviews pre-authorizations, re-authorizations or insurance verifications with clients as indicated.
●Manages the surgery schedule, including ensuring charts are ready, and has a surgical knowledge of each type of case/procedure including staffing needs, time allowed, and other resources that would need to be available for the case when scheduling.
●Organizes the pain clinic, including scheduling with physicians and patients, ordering, calling patients, ensuring insurance coverage is adequate, and ensuring charts are up to date.
●Performs necessary clerical duties to ensure that records are maintained in an accurate and timely manner. Ensures all documentation is ready and on the charts (labs, x-rays, H&P's, etc.). Ensures that operative reports, pictures, etc. from the medical record gets sent to physician's offices.
●Schedules appointments in the computer per testing guidelines, and makes all attempts to meet the customer's expectations.
●Reviews patient records, physician orders, protocols, and patient data to demonstrate ability for interpretation of subjective and objective information for patient assessment and order validation. Seeks guidance from management team as needs are identified.
●Accurately and efficiently assigns ICD-9 diagnosis codes, reviews medical necessity for designated tests/procedures and works with Healthcare providers to ensure accurate reimbursement according to Medicare guidelines.
●Participation in orientation of new staff. Assists and supports staff/students as evidenced by observation and feedback. Takes on extended job functions. Involved with staff development or program development.
●Works collaboratively with all members of the Healthcare team by setting an example of customer service excellence.
●Receives and routes communications to and from appropriate people involved in the provision of Surgical Services. This includes relay of information regarding patient care, supplies, and equipment in an accurate and timely manner. Schedules surgery, endoscopy, and anesthesia procedures and communicates this information to appropriate personnel.
●All other duties as assigned.
Certification - Licensed Practical Nurse (LPN) - South Dakota Board of Nursing
Experience - 1+ years of Cardiovascular Medicine Experience
Education - Associates degree in Health Related Field
Sedentary work - Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
