General Summary:

Work in conjunction with the Aviation Department and Company Travel Department to receive, assign, and coordinate requests for all travel on Company Aircraft. Coordinates aircraft schedules according to crew availability, mechanical requirements, weather, travel requests, and government regulations. Advises the appropriate personnel of potential delays or cancellations. Relies on experience, judgment, and company procedures to plan and accomplish goals. Performs a variety of tasks. Works under general supervision. A certain degree of creativity along with excellent communication skills are required.

Principal Duties & Responsibilities:

  • Scheduling/planning Executive and other Team Member travel on the Company aircraft in compliance with FAA regulations and Company policies utilizing and maintaining computer software related to flight dispatching and logistic support.
  • Interact and provide direct support to Senior Management assisting with the scheduling/coordinating of travel requests on Company aircraft
  • Ensure efficient use of Company aircraft, and when necessary, exploring alternative options in a cost saving effort.
  • Utilize knowledge of Company aircraft performance and operational capabilities to make appropriate recommendations to traveling Executives
  • Utilize knowledge of international procedures, permits/restrictions, and coordination with outside aircraft service handlers for international flights
  • Evaluate, with flight crew assistance, all risk factors and modify trips as necessary to maintain a high level of safety
  • Prepare travel itinerary for all passengers and pilots to include hotel & car reservations
  • Co-ordinate/Notify FBO planned on the flight itinerary advising of our arrival/departure information
  • Follow up with FBO to ensure ground transportation has been delivered on-site and ready for passengers
  • Provide documentation for aircrew and passenger travel, insuring compliance for all country customs and immigration laws
  • Provide daily email notifications to aircraft bases (ORF & CLT) for next day arrivals/departures
  • Maintain department records including, but not limited to: flight itineraries, passenger manifest, fuel expenses, and personnel security clearances, etc., to ensure reporting and accounting accuracy
  • necessary to maintain a high level of safety

  • Maintain department records including, but not limited to: flight itineraries, passenger manifest, fuel expenses, and personnel security clearances, etc., to ensure reporting and accounting accuracy
  • Maintain Jet Fuel database for Company Aircraft; verify prices and availability for all destination airports
  • Establishing and maintaining relationships with outside vendors to include logistical support (i.e., fixed based operators/ground transportation, etc.)
  • Reviewing NOTAM’s and TFRs to co-ordinate impact with Company travel
  • Provide services and reports related to SIFL/IRS/SEC information
  • Remaining current on resources available and training opportunities to facilitate an effective scheduling operation
  • Work with Director of Aviation to ensure International Over-Flight Permit is current
  • Ensure airport ID badges are current and assist with Airport Operations audits as needed
  • Create/Maintain Company Aircraft Operations guideline for Team Members to follow when traveling onboard Company Aircraft
  • Setup all departmental invoices for approval/payment (i.e. fuel, landing/ramp/hangar fees, maintenance, dues & subs, etc.)
  • Process month end accruals
  • Assist Aviation Mgmt. to ensure accuracy of monthly budget line items reports
  • Setup all monthly departmental card charges for approval
  • Provide month-end charge back report for Finance Dept
  • Provide administrative support to the Director of Aviation as directed
  • Responsible for reporting any unsafe condition(s) or personnel action to the Director of Aviation or Safety Captain
  • Provide secondary support function to Company Travel Department as needed
  • Follows all Company policies and procedures
  • Other duties as assigned


  • Minimum Requirements:

  • 2 years’ experience in Corporate/General Aviation aircraft Scheduling/Dispatching or similar travel scheduling role
  • Proficiency in Microsoft Word and Excel
  • Excellent communication skills – oral and written
  • Experience working with all levels of management and providing excellent customer service
  • Proven ability to multi-task working in a fast paced high energy work environment
  • Ability to handle sensitive and confidential data
  • Must be available to travel ___% of time
  • Needs to be available after normal business hours to accommodate travelers
