The Office Manager provides day-to-day operational supervision over a team of administrative, technical, and/or clinical (non-provider) employees in a 7 day a week operation. Directs office support services to provide support for physician and other providers; and an excellent experience for patients. This position is also responsible for covering during unexpected absences for both Medical Assistant and Patient Service Specialist positions and is located in Cleveland Park.
Essential Duties and Responsibilities include the following . To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
Provides day-to-day operational supervision of a team of administrative, technical, and/or clinical (non-provider) employees. Includes working to interview, hire, terminate, discipline, manage performance, etc. of non-provider team members.
Responsible for staff scheduling and maintaining appropriate staffing levels. Reviews payroll for staff.
Responsible for all medical supplies and medication to ensure they are stored correctly, are inventoried on a regular basis and stocked at the appropriate levels.
Coordinates operational needs/requirements of office to include facilities-related issues, maintaining machines and equipment, and addressing any outages or problems with communication and computer systems.
Addresses all customer service related issues to include patients complaints and concerns. Assists with billing/coding-related questions and concerns.
Assist with developing, evaluating, and recommending methods to improve work flow, access and customer service in collaboration with the Director of Operations and Clinical Nurse Manager.
Responsible for monitoring the completion of all tasks in Allscripts for providers and staff.
Review various systems to ensure appointment schedules are being maximized and checks eligibility reports on a daily basis for all patient appointments
Must be available via phone during clinic operating hours (includes morning/evening hours and some weekends) and may be required to come in to cover unexpected absences
Oversees and approves cash batches and responsible for cash management
Works with Director of Operations for data analysis in preparing monthly
A Bachelor’s degree or an equivalent combination of training and experience is required. A Master’s degree or RN is highly desirable. Other clinical experience (Medical Assistant, etc.) also desirable.
Three years of administrative, billing, clinical, and/or office management experience, preferably in physician office and/or ambulatory care setting.
At least one year of progressive supervisory responsibility preferred.
