JOB SUMMARY

The purpose of this position is to provide support to project manage operations, administration and management for projects from inception through completion.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Audits, solicits and provides reporting on Project Management key performance indicators.

Creates and maintains project policies and directives within the project operations manual.

Function as systems administrators of internet-based project tracking system, project websites and job cost accounting system.

Respond to internal and external customer inquiries concerning performance reports and project tracking system data.

Assist project management executives in the implementation of and monitoring the adherence to project administrative practices and policies.

Provide internal and external customer training on PM application.

Assist project team in project close-out procedures.

Serve as project team liaison to I/T Coordinator on tracking desktop hardware and software issues.

Train new administrative assistants and temporary employees on project policies and administration.

Prepare routine and special client reports as required.

In addition to the above, you will also be responsible for the below requirements.

Master Scheduling and Analyst Requirements:

Consulting with project managers to set up assignments, tasks, and subtasks.

Project managers will be responsible for developing, managing, and updating their own project schedule.

The responsibility of this role will be to align all project schedules in an overall master schedule.

Developing, implementing, and maintaining an effective scheduling management system.

Coordinating project timelines with the individual Project Manager, Project Director, and PMO.

Monitoring project timelines and deadlines.

Identifying critical milestones, and potential project schedule delays and escalating to the Project Director.

Evaluating the performance of all live and upcoming projects and preparing master-level project progress reports.

Accommodating updates and changes to project schedules.

Keeping the Project Director and PMO informed of project timelines and deadlines.

Forecasting and Data Reporting:

Monitor team’s workload/pipeline and produce monthly forecasting of gearing ratios.

Design rich data visualizations to communicate complex ideas to client/upper management

Ability to collect, analyze, manipulate, and report on client’s data.

Gather critical information from meetings with clients and producing useful reports.

Effectively communicate insights and plans to team members and management.

Skills:

Exceptional analytical and conceptual thinking skills.

intermediate skills with MS Suite of products.

Advanced ability with MS Excel, MS PowerPoint.

Intermediate ability with MS Power BI.

Exceptional skills in MS Project

Extensive experience in schedule planning and management.

Ability to keep stakeholders informed of project timelines and changes.

Excellent organizational, time-management, and communication skills.

Core Deliverables:

Master schedule report and tracking across all projects.

Incorporating forecasted projects within the master schedule.

Forecasting workload of upcoming 3-6 months projects.

Provide scheduling data to support Gearing Report (Workload demand analysis, 3-6 month look ahead to assist management in proactive resource planning)

SUPERVISORY RESPONSIBILITIES

No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance, and/or training to coworkers. May coordinate and assign tasks to co-workers within a work unit and/or project.

EDUCATION and EXPERIENCE

Bachelor's degree (BA/BS/BEng/BArch) from College or University in a technical area of study. Minimum of 2 years project-administrative, database management and/or performance reporting experience or any similar combination of education and experience.

CERTIFICATES and/or LICENSES

None.

COMMUNICATION SKILLS

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.

FINANCIAL KNOWLEDGE

Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and/or commissions. Conducts basic financial analysis.

REASONING ABILITY

Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.

OTHER SKILLS and ABILITIES

Intermediate skills with project management software and Microsoft Office Suite.

SCOPE OF RESPONSIBILITY

Decisions made with understanding of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor.

The minimum pay for this position is $55,000.00 annually and the maximum pay for this position $65,000.00 annually. The compensation that is offered to a successful candidate will depend on the candidate’s skills, qualifications, and experience. Successful candidates will also be eligible for a discretionary bonus based on CBRE’s applicable benefit program.
