Calling all Meeting Planner professionals! Maritz Global Events is currently seeking a variety of skilled Meeting Event Managers to support our corporate, life sciences, and association/tradeshow/live event (ATL) divisions! The Meeting Event Manager will act as the client liaison, project leader and experience designer for assigned face to face, digital or hybrid programs. This person manages overall coordination and execution of a portion of the event or an entire program/event from an operational perspective.

The Meeting Event Manager will also be responsible for event experience, coordination of program planning while providing unparalleled levels of consultative event design and customer service. Responsible for client budget management and supporting the EM financial managers in forecasting budget variations.

Internal and External Contacts: Manages external relationships with clients and all third-party companies/suppliers. Working relationships and regular interaction with internal partner teams which could include but is not limited to: Sales/Account Management, Design Studio, Creative, Guest Services, Registration, Supplier Relations, Housing/Sourcing, Accounting, Project Management and On-Site Operations.

Primary Responsibilities Responsibility % of Time Spent

50% Project & Experience: Coordinates and participates in design sessions to clarify the strategic framework. Manages overall project timeline and deliverables including client expectations, business objectives, and people impressions. Manages and negotiates items including supplier relationships, audio-visual, general service contracting, hotel, DMCs, air and third-party contracts. Monitors attrition dates, cancellation policies; ensures contracted services are executed. Coordinates and attends site inspections. May coordinate/support food and beverage, transportation, hotels, activities, meetings, registration, air, VIP logistics, emergency preparedness and staffing. Manage client liabilities throughout project and on-site. May assist with development of proposals and deliverables on renewal business. Provide expertise on destinations, hotels and other services. Develops initial budgets on renewal business if P&ED not assigned. Represent EM on committees and transformation projects.

30% Relationship Management: Independently interfaces with day-to-day client contact to ensure business objectives and people impressions are executed. Maintains proactive, positive, open communication between client and Sales/Account Management and partner teams. Oversees project teams during the development, production, and quality assurance of deliverables in event management area.

Authors and maintains standard process and event specifications documentation for project team and client. Facilitates kickoff meeting and working sessions with client and stakeholders. Conducts regularly scheduled status meetings from pre-planning through program operation with client and stakeholders. Acts as project team leader, communicates program requirements to team. Provides onsite leadership and support to clients, suppliers, and facilities to ensure all functions or programs occur as planned while monitoring service levels and resolving challenges.

20% Financial Management: Monitors project expenses and budget. Responsible for program and/or internal supplier revenue forecasting and changes and updating financial systems. Manages overall program/event budget - tracks changes and savings, communicates changes to Sales/Account Management contact and client. Manages supplier products and services by negotiating pricing, contract terms and service offerings through RFP, bid analysis and recommendations to client. Works in conjunction with the event management financial team on cancellation costs or any additional scope change agreements. Initiates supplier payments, client invoices and project change orders. Manages positive net funding on assigned programs. Works with accounting on post program reconciliation of all third party spend and commissions in order to complete final bill. Reviews final billing prior to final client invoicing.


* Bachelor's degree or equivalent experience required. PMP (Project Management Professional), CMP (Certified Meeting Professional), CIS, CITP, HMCC, DES certification desired.

* Minimum 3+ years of experience in meeting/event planning (including incentives, association, corporation) or hotel catering, convention, sales experience required. International hotel destination knowledge a plus.

* Strong knowledge of program/event design, management, and budget maintenance. Exposure to project planning/forecasting financial implications.

* Prior successful experience in providing personal and exceptional experiences to event guests and developing and maintaining key client relationships.

* Professional oral presentation and writing skills required.

* Prior experience in effectively handling multiple projects/demands.

* Excellent computer skills, knowledge of Microsoft Office tools, Meetings Management & Digital Event Technology & ability to learn new technology quickly.

* Ability to travel up to 30% of time required.
