DUTIES & RESPONSIBILITIES

  • Provide secretarial and administrative support to the CEO and other management executives
  • Coordinate work with other executive staff to ensure high performance in a customer service-oriented work environment
  • Type and draft memos, notes, correspondence, and other documents of highly sensitive and confidential nature
  • Ensure materials and reports are accurate and complete; proofread and check typed materials for accuracy, completeness, and compliance with policies and procedures
  • Maintain calendars, coordinate and arrange meetings, and prepare meeting materials
  • Receive phone calls, provide information, and handle issues that may require sensitivity and use of judgement
  • Respond to requests for information and complaints, refer matters to appropriate management, and take recommended actions to resolve requests or complaints as necessary
  • Prioritize and route incoming correspondence, reports, requests, and instructions; then handle or refer as directed
  • Professionally represent the CEO when greeting guests, organizing events, reviewing correspondence, and responding to inquiries made to the office
  • Develop itineraries and agendas; including flight scheduling, transportation, and travel accommodations
  • Complete projects as assigned by the CEO; which may include creative problem solving and coordination with other staff members
  • Maintain effective daily operations, and other duties as assigned

    QUALIFICATIONS & REQUIRED SKILLS

  • High School Diploma and (3) or more years of prior experience in executive/administrative assisting; OR Bachelor’s degree and (1) year of prior experience in executive/administrative assisting
  • Knowledge of general office administration practices and procedures
  • Principles and practice of sound business communication
  • Proficient spelling, grammar, and punctuation usage
  • Professionalism in written, and verbal, communication
  • Exceptional organizational and time-management skills
  • Active listening skills
  • Attention to detail; and the ability to multi-task
  • Demonstration of high critical thinking capabilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)
  • Typing speed of 55wpm or higher
  • Proficiency in mail merges and bulk mail outs
