 Summary / Primary Role:  

Provide clerical assistance within the safety department with concentration in permit ordering and managing driver logs.

 

 

Principal Duties and Responsibilities:

(Management may amend or assign duties and responsibilities to this job at any time)

Under general supervision, this person performs a variety of specialized administrative and office functions: creates and maintains specialized reports, records and files information in connection with department work processes, and performs related duties as assigned. 

 

  • Data entry- various state and vendor permit websites; equipment and load specifications

  • Data research and verification

  • Interact with dispatchers regarding routing, customer needs, equipment and loads

  • Interact with drivers regarding routing, schedules, equipment and load specifications

  • Interact with regulatory agencies regarding permitting laws, rules and regulations

  • Interact with permit service and escort vendors

  • Interact with Agents regarding permitting requirements

  • Complete reports as required

  • Prepare and distribute emails regarding log violations and compliance

  • Scan logs into KellerScan system ensuring all logs are recognized and legible

  • Verify logs for HOS violations, accuracy, completeness and compliance

  • Assist other employees with compliance duties as needed

  • Assist with department mailings; log violation letters, compliance expiration letters, etc.

  • Assist Recruiting Manager with recruiting duties

  • Assist with other safety clerical duties, equipment files, etc.


 

Qualifications and Key Skills:

(The following are representative of the education, experience, knowledge, skills or ability required for this position)

Person(s) in this position must have high school diploma or GED equivalent with a minimum of 3 years' experience in a similar role, transportation industry and/or environment. Extensive knowledge of FMCSA, state and local size and weight restrictions, DOT hours' of service and logs auditing experience is required. Word, Excel, PowerPoint, and Outlook computer programs required. 

Excellent interpersonal, communication and mathematical skills.
