JOB SUMMARY:
Provides confidential administrative assistance to the General Manager of Harrah’s Reno and up to four or five additional senior executives.
 
KEY JOB FUNCTIONS:
  • Prep monthly General Ledger reports for assigned executive review
  • Provides executive support for impromptu or scheduled presentations
  • Resolves Ariba exceptions for assigned executives
  • Based on own judgment, authorizes comps for guests and employees in the name of senior management.
  • Completes all electronic expense reports, correspondence, reports, mail, travel arrangements, calendars, etc., for assigned executives.
  • Verifies, prepares and processes invoices, checks and receipts.
  • Coordinates and assists with special projects for Caesars Entertainment, the General Manager or other assigned execs.
  • Responsible for executive office management of inventory, supplies, equipment, equipment repairs and other related items.
  • Plans for executive’s meetings, including preparing for and activating ZOOM as required. Distributes notifications and completes minutes as needed.
  • Coordinates travel arrangements, hotel rooms and limo travel for Caesars Entertainment senior executives and special guests.
  • Assists in coordinating meeting space, hotel rooms and restaurant arrangements for community leaders as required.
  • Responsible for all executive office correspondence as assigned and administrative support; maintains confidential records, files and documents.
  • Attends assigned executive staff meetings and prepares notes as required.
  • Maintains electronic Organization Charts for Harrah’s Reno
  • Handles a significant amount of customer questions and complaints.
  • Assists with high limit guest gifts and correspondence.
  • Screens assigned executive telephone lines, using tact and discretion.  Solves problems and answer questions for guests and employees.
  • Maintains the strict security and confidentiality of all files, communications and information in the conduct of Caesars business.
  • Assists in the organization of the General Manager’s schedule.
  • Other duties as assigned

EDUCATION and/or EXPERIENCE: 
  • High School Diploma or equivalent, College preferred
  • Minimum 5 years executive administrative experience
     
    QUALIFICATIONS:
  • Fluent and literate in English
  • Ability to maintain composure and excellent guest relations under all circumstances
  • Computer literate with advanced skills in Office 365 (Outlook, Word, PowerPoint, Excel, Publisher), Zoom, Ariba, CMS, LMS
  • Proficiency in InMoment and/or Trip Advisor a plus
  • Excellent communication skills, both verbal and written
  • Ability to maintain calm and control under extremely stressful conditions
  • Ability to maintain strictest confidence regarding all information concerning Caesars Entertainment
  • Ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated business
  • Acts as a role model to other Team Members and always presents oneself as a credit to Caesars Entertainment and encourages others to do the same.  Adheres to all regulatory, company and department policies and procedures
     
    PHYSICAL, MENTAL and ENVIRONMENTAL DEMANDS:
  • Must be able to sit for long periods of time (4 hours).
  • Visual and auditory range must include immediate environment.
  • Must have the manual dexterity to operate a computer and other necessary office equipment. 
  • Must have the ability to push, pull, reach, bend, twist, stoop, and kneel
  • Must have mobility to navigate between the two properties
  • Ability to grasp, finger dexterity, use repetitive hand motion
     
    Positions that have contact with the public require the ability to work in a noisy
    environment and may be exposed to guests who use tobacco products.  Also, non-public contact positions may be required to enter public areas from time to time, in connection with their duties, and may be subject to the same environment.
