Job Title: Assistant Facility Manager

Job Summary:

The Assistant Facility Manager (“AFM”) will support the Account Management Team on-site at the customer’s facility in the planning, directing, and coordination of work to accommodate preventative, corrective, general maintenance and documentation. Associate will plan, direct and coordinate activities with the Maintenance and Facility Management team to ensure service expectations are met by vendors, project managers, and key personnel. AFM will participate in and lead routine meetings and quality audits to track and measure adherence to processes, workflow, key performance indicators (KPI’s) and the overall assurance of optimal service delivery. The position will help oversee and train customer support staff, and may also assist with supervisory responsibilities in absence of, or on behalf of, the account management team. Assigns and schedules work with maintenance staff, subcontractors and project managers across multiple sites. Provides assistance with the daily oversight of Operations and Maintenance, including: project coordination, document control, material acquisition, purchase order requisition, overall quality assurance, and general customer service support. Other duties include, but not limited to, daily assessments of systems, maintaining a clean working environment, and other various duties as assigned by the Regional Business Manager, while adhering to all safety and health standards. Responsible for leading process improvement initiatives as well as developing a comprehensive, sustainable, facilities inspection program. Responsible for managing multiple aspects of customer relationships and satisfaction, including: KPI’s, surveys, deficiency audits, and account performance assessments.

Essential Duties and Responsibilities:

  • Develops and maintains key client relationships and partnerships with customers, stakeholders, account team, and supports external resources

  • Manages Customer Satisfaction processes

  • Maintains Customer and EMCOR contact lists

  • Analyze and distribute performance metrics, including TMP and KPI reports. Provides data and analysis for governance team or account management

  • Performs account performance assessments and implements required process changes

  • Prepares reports documenting quality issues, conditions and remediation actions taken to ensure customer standards are maintained

  • Performs building condition assessments to determine of overall site conditions and identify deficiencies to be address

  • Evaluates vendors and their performance to ensure new vendors meet quality desired by EMCOR and customer

  • Reviews daily work order report and manages work order backlog

  • Provides training and oversight on how to prepare and use the daily open work order report

  • Provides training and oversight on general workflow and processes

  • Maintains IWMS completion and response KPI levels by performing additions, modifications, and deletions to preventative and corrective maintenance work orders generated for properties, equipment, and assets

  • Ensures service providers are serving both internal and external customer's needs

  • Evaluates changes to operations and maintenance process & procedures to ensure that new process & procedures and/or modified process & procedures comply with efficiency, compliance, and quality standards

  • Manages technical support of the CMMS system, IT equipment, report development, report generation, and asset management program enhancements


Qualifications:

  • 7-10 years of experience in coordination or supervision of activities in a facility, construction, industrial, or R&D maintenance environment preferred

  • Property of Office management experience helpful

  • Coordination of technical / skilled trades preferred

  • Prior customer service experience preferred

  • Computer database administration preferred

  • Bilingual in Spanish and English is helpful

  • High School diploma, GED, or equivalent required

  • Associates / Bachelor Degree in a Business or Science field preferred

  • Occasional travel may be required to support remote operations or training initiatives
