SECTION I - JOB DESCRIPTION
SUMMARY:
Under the supervision of the Clinic Coordinator or designee, the Certified Medical Assistant (CMA) will assist the clinical services staff with daily duties for the Cameron County Public Health (CCPH) Clinical Services Program. The CMA will perform clerical and clinical work that is critical to the development of the medical and financial records of the clinics.
ESSENTIAL FUNCTIONS:
- Accurately document all time worked.
- Perform functions and render services consistent with established Cameron County Public Health Policies and Procedures, Clinical Services Program Policies and Procedures, Standing Delegation Orders, and Protocols.
- Adhere to and complete the Medical Assistant Employee Competency Checklist.
- Interview clients and/or guardians to obtain appropriate health history and immunization status.
- Prepare and administer immunizations and treatments consistent with CCPH protocols and procedures.
- Conduct data entry on clients seen during clinic visits in records and electronic reporting systems as required for Family Planning, STD, Prenatal, and Immunizations.
- Maintain and document appropriate medical records and reports.
- Plan and schedule clinics in the department.
- Document medically related notes in client records in an objective and subjective format.
- Perform screening laboratory tests and vital signs on clients as needed.
- Participate in the coordination of laboratory specimen collections with private and/or regional laboratories.
- Prepare equipment and supplies for all clinical sessions.
- Ensure that all abnormal results are routed to the LVN/RN/FNP/ANP/MD, as appropriate, with proper follow-up.
- Assist in completing monthly reports.
- Participate in Quarterly Quality Assurance Record Reviews and Quality Assurance Quarterly Medical Reviews.
- Make appropriate referrals to agencies as necessary to ensure clients' medical needs are met.
- Assist in the management of epidemiological data gathering and analysis for vaccine-preventable disease control and prevention as needed.
- Complete client refills.
- Meet and greet clients and direct them to the appropriate program.
- Answer the telephone and greet clients in a professional and courteous manner.
- Schedule appointments for clients at the clinic.
- Order office and medical supplies for the clinic.
- Maintain and prepare records for Family Planning, STD, Prenatal, and Immunizations.
- Input data in an orderly form and correct format with appropriate medical documents and progress notes.
- Register clients for Family Planning, STD, Prenatal, and Immunizations.
- Answer phone calls/faxes, pulling records for review by nurse/practitioner or physician as needed by staff.
- Follow up with pending laboratory results.
- Transfer records to other clinics within departments.
- Route records back to staff nurses/practitioner if documentation is incomplete.
- Update demographic and history at each patient encounter.
- Prepare clients for laboratory work and/or physical exams by the physician or nurse practitioner. Assist with the client's exam.
- Take vital signs and measurements on clients seeking services in the clinic.
- Complete work orders on clients as requested by physician or nurse practitioner.
- Complete laboratory specimen forms with client's name, date of birth, and clinic address. Prepare specimens for mailing and send specimens to the appropriate laboratory.
- Keep laboratory logs up to date with specimens going out of the clinic and posting results from the laboratory on the log.
- Keep supplies stocked for clinics and conduct monthly inventory of supplies on hand to order for the following month.
- Pull records for scheduled clinics and review records for completeness of forms prior to clinic dates.
- Perform all lab duties including but not limited to lab work (blood draw, urinalysis, finger stick, etc.), quality assurance of lab equipment, ensuring that lab is stocked at all times, calibration of equipment, etc.
- Other duties as assigned.
SECTION II - JOB REQUIREMENTS
EDUCATION AND EXPERIENCE:
Graduate from an accredited school of Medical Assistants and maintain current certification.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of medical terminology, public health laws and regulations, and the natural history of common infectious diseases. Good communication skills (oral and written) and Spanish speaking ability. Knowledge of computer programs (MS Word, Excel, PowerPoint, and internet). Ability to work with confidential client information, understand public health laws and regulations, follow oral and written instructions, and work with the public.
SPECIAL REQUIREMENTS:
Must have a valid Texas Driver's License, comply with State of Texas Driving Laws, and maintain an acceptable driving record. Must have reliable transportation. Employees of Cameron County may be required to work during any natural disaster or emergency, extended hours, and non-traditional work schedules (i.e., Saturdays and Sundays). A criminal background check is required for employment or continued employment.
PHYSICAL DEMANDS:
Good health and physical condition sufficient to permit full performance of the duties of the position. If additional assistance is required, the employee must request assistance prior to performing the assignment.
SECTION III - JOB DIMENSIONS
CONTACTS:
EXTERNAL CONTACTS: Occasional contact with other health, social, and educational care agencies, outside organizations. Frequent contact with clinic clientele. Communication is via telephone, written communication, and face to face.
INTERNAL CONTACTS: Utilizes tact when dealing with County employees, health, social, and educational care providers, and clientele regarding operations issues. Constant contact with County Personnel. Communication is primarily face-to-face, via telephone, and through written communication.
RESPONSIBILITY:
Comply with Cameron County and Department of State Health Services rules/regulations and display a positive public image. As a Cameron County employee, the identity of every client shall be kept confidential except to the extent necessary to carry out the purpose of an investigation, hearing, or judicial proceeding.
DIFFICULTY:
Judgment is required to ensure completion of job activities as assigned by the Immediate Supervisor or designee. Discretion is needed to achieve work goals. Initiative is constantly required to achieve work goals.
GUIDANCE:
As assigned by Immediate Supervisor or designee. It is the responsibility of the employee to know and maintain contact with their Immediate Supervisor or designee.
