Construction Contracts Administrator

Reports To:    Senior Contracts Administrator
        
Education/Certificates:    Associates Degree or Equivalent 
        
Experience:      Candidate should have at least 2 – 4 years of experience in this area or in a related area. 
    
Skills, Knowledge & Abilities:  

 •    Advanced proficiency in Excel, Word and Adobe Acrobat
•    Prioritization of work schedule to maximize efficient time management with daily and specially requested tasks
•    Strong written and oral communication skills
•    Demonstrate dependability, flexibility and teamwork 
•    Ability to follow complex oral and written instruction
•    Ability to interact and communicate effectively within the organization
•    Records and Information Management 
    
Essential Duties:    

Process Contract, Purchase Order and Change Order requests received from the Project Managers 
             
1.    Work on LOI
2.    Collect required pre-qualification, financials, and DocuSign Consent form
3.    Prepare base Schedule A on Q for PM to work on scope of work
4.    Work on SOV on Q
5.    Convert contract to Procore 
6.    Send approved contract to sub via DocuSign

PO: 
1.    Work on PO line items, and get it approved. 
2.    Send approved PO to sub via Dosusign

 CO: 
1.    Log change order requests in Procore Change Event 
2.    Generate Procore Change Order from Change Event
3.    Work on CO language, get it approved
4.    Send approved CO to sub via DocuSign

LOA and Consultant Agreement
1.    Work on agreement language and get it approved
2.    Manually execute Consultant Agreement; LOA in Procore DocuSign. 

•    Monthly draw take over by Textura, A/P invoice, code invoices, have them approved, and then send to accounting.
•    Take over by Procore ERP
•    Update Contract and Purchase Order Logs regularly  Yes
•    Post documents to Procore
•    Scan and Upload documents to Sharepoint and Procore
•    Take over by DocuSign
•    File Contracts, Purchase Orders and Change Orders to respective folders No original documents. Only post electronic documents to  respective folders in Procore
•    Maintain Contract and Purchase Order logs weekly to ensure timely receipt of signed documents.  
•    Maintain Logs for Subcontractor’s Licenses 
•    Retrieve and sort daily Contract Administration Mail  
•    Receive and Ship packages as needed 
•    Prepare and Compile documents for Construction Project Close-outs upon Construction completion. Includes Audit of Contract Logs and Purchase Order Logs.  

•    Maintain Contract and Purchase Order logs weekly to ensure timely receipt of signed documents.  
•    Maintain Logs for Subcontractor’s Licenses 
•    Retrieve and sort daily Contract Administration Mail  
•    Receive and Ship packages as needed
