Proposal Specialist

The Proposal Specialist has a minimum of 6 years of experience in the A/E/C industry with a complete understanding of the proposal/presentation process and marketing databases. The individual has an outgoing personality, shares our team-oriented approach, and thrives while handling multiple, diverse tasks. This position requires exceptional organization, communication, and problem-solving skills and is service-oriented, creative, efficient, and proactive. The Proposal Specialist supports the development of proposals, and at times, leads efforts, across the firm's business lines, from research to RFP response through to the presentation. This individual works closely with the Senior Proposal Manager to create and deliver best-in-class response packages using graphic design, technologies, and systems related to marketing and sales. This position is in-house at our West Palm Beach, FL headquarters.
Responsibilities will include, but not be limited to:
- Assist the Senior Proposal Manager in the creation of proposals, presentations, qualification packages, and award submissions.
- Assist with proofreading and editing pursuit and marketing materials to ensure proper grammar, accurate content, and overall quality.
- Assist the Senior Proposal Manager or sometimes lead the facilitation, coordination, and participation of kick-off meetings and proposal production activities.
- Work with the Senior Proposal Manager to ensure proposal deadlines are met.
- Assembly and/or deliver Proposal/Deliverables.
- Assist the Senior Proposal Manager, or sometimes lead teams for presentations and interviews, running the presentation/interview process when requested.
- Assist in business development in market sector business development and client maintenance support.
- Interview and write up case studies about projects in the field and office.
- Conduct marketing database queries, input data, and maintain the accuracy of data on an ongoing basis.
- Aid in preparing new boilerplate material, including firm biographies, staff resumes, case studies, and project summaries.
- Interface with in-house Graphic Designer to create visually appealing materials.
Position Requirements
- 6+ years experience and knowledge of the A/E/C industry. A background in marketing, writing, graphic design, printing, and production are preferred.
- Effective computer skills, with proficient use of Adobe Creative Suite, Microsoft Suite (PowerPoint, Word, Excel, Teams, SharePoint, etc.), Cosential and/or CRM Databases, Prezi, and remote meeting software such as Zoom or Teams.
- Effective business writing, organizational, and communication skills.
- Ability to prioritize schedule and tasks, work productively and independently while under tight deadlines.
- Ability to work across diverse team’s locations, expertise, and disciplines.
- Problem-solving abilities, including conflict resolution under time-sensitive production expectations.
Reports to: Senior Proposal Manager
Works in Conjunction with: Director of Marketing, Senior Proposal Manager, Preconstruction and Estimating Teams, Director of Marketing, Marketing Team, Operations and Project Executives, Project Managers, Leadership Team, outside Creative and Graphics Team.
