Executive Vice President of Human Resources

Lettuce Entertain You Restaurants is looking to find a full-time Executive Assistant to support the Executive Vice President of Human Resources, Susie Southgate-Fox at the Corporate Office. 

Responsibilities will include providing administrative support to Susie; distributing management training materials; organizing all aspects of Breakfast Meetings; maintaining the online management directory; maintaining manager and corporate employee files; processing subpoenas; maintaining and distributing performance reviews for corporate and management as well as coordinating Susie’s travel arrangements. Requirements  
  • Highly organized and skilled at multitasking
  • Excellent written/verbal communication skills (email, phone, in person) 
  • Ability to act as the EVP’s liaison with complete confidentiality and integrity
  • Ability to proactively and confidently prioritize changing needs 
  • Experienced with MS Word/Excel and PowerPoint

POSITION SUMMARY:  Provide administrative support to the Executive Vice President (EVP) of Human Resources. Provide support to the Human Resources team, restaurants and corporate operations as needed.  ESSENTIAL FUNCTIONS:
  • Provide administrative support to the EVP of Human Resources using discretion and confidentiality
  • Distribution of management training materials
  • Schedule and organize all aspects of Breakfast Meetings and Employee Surveys
  • Update and maintain the online management directory
  • Take accurate, detailed phone messages for EVP of Human Resources
  • Maintain and audit the manager and corporate employee files
  • Run and distribute reports for employee review planning and overdue reviews
  • Create and maintain the annual corporate employee reviews
  • Order and distribute management cards
  • Administer the 10-year anniversary management card benefit and provide notifications
  • Ability to communicate in English in order to perform and follow job requirements in written and spoken direction
  • Ability to multitask calmly and effectively in a busy, stressful environment
  • Able to move and/or lift up to 10 pounds
  • Ability to sit or stand for an entire shift 
  • Accessibility varies by location
 KEY RESPONSIBILITIES AND DUTIES:
  • Coordinate travel arrangements for EVP of HR including all transportation, ticketing, upgrades and hotels
  • Entering employee reviews in Lawson for stores without access
  • Greet guests and candidates and notify correct party
  • Process subpoenas
  • Provide backup for HR calls as necessary
  • Handle, assist or direct calls pertaining to any and all HR functions
  • Take accurate, detailed phone messages for other department members as needed
  • Demonstrate proficiency on industry standard software such as Microsoft Office (Word, Excel, etc.)
  • Proficiency in the use and operation of all necessary tools and equipment including computer, printer and telephone systems
  • Comply with all safety and sanitation guidelines and procedures
  • Follow all rules, policies, procedures and conditions of employment, including those outlined in the Employee Handbook
  • Ability to get along well with others and be a team player
  • Other duties will be assigned as needed
