
The AP Specialist provides financial, administrative, and clerical support by ensuring payments are completed and expenses are controlled by processing, verifying, paying, and reconciling invoices according to established policies and procedures in an efficient, timely, and accurate manner.
Responsibilities:
• Match purchase orders, receivers, packing slips, and invoices and inter invoices into the computer system (presently Quickbooks)
• Verify approval of all invoices and check requests
• Charge expenses to accounts and cost centers (Classes) by analyzing invoice/expense reports and recording entries
• Able to prepare and process checks for multi companies
• Update and maintain vendor database
• Able to process and enter 500 – 1,000 invoices per week
• Reviews and audits expense reports for receipts and coding
• Reconciles vendor statements
• Ability to process and follow-up on rush items
• Maintains Accounts Payable files
• 1099 preparation (Verify FIN)
• Ability to communicate with vendors for missing items (W-9’s, PO Numbers, Proof of Delivery, etc.)
• Report sales taxes by calculating requirements on paid invoices
• Month-end closing with Accruals for receipts not invoiced
• Protect organization’s value by keeping information confidential
• Special projects as assigned
Knowledge
• High School Diploma or GED; Associates Degree or equivalent from a two-year college or technical school preferred
• 1-3 years Accounts Payable experience
• General math skills
• Excellent data entry skills
• Ability to prioritize and to multi-task in a fast-paced environment
• Ability to handle confidential information in a discreet, professional manner
• Eye for detail, accuracy is imperative
• Ability to meet deadlines
• Excellent verbal, listening, and written communication skills
• Excellent organizational and analytical skills
• Ability to work independently or as a team member and display initiative
• Proficient with MS Word and Excel, and Quickbooks
