Job Description

Overview

Responsible for staffing and scheduling functions including overall coordination of the electronic system and daily staffing assignments. Works closely with Directors and Nursing Units in maintaining an up-to-date pattern with the necessary number of personnel with appropriate skills on each unit. Responsible for Kronos timekeeping of specified associates.


Responsibilities

Maintains master copy of work schedules and enters changes as they occur, to assure accurate and current records.  Evaluation attendance is recorded for current year.  Develops and maintains accurate One Staff system for all nursing service associates including attendance.  Attendance is monitored and excessive absences reported promptly to associate, Nurse Manager, Director and Human Resources.  Communicates with HR on beginning of LOA dates and return to work dates. Family Medical Leave (FMLA).  Maintains verbal and written communication and record system pertaining to scheduling and staffing.  Develops and maintains a close working relationship with nursing department heads and management staff.  Prepares accurate and complete reports and other significant data pertaining to staffing/scheduling.  Coordinates overall staffing requirements. Every effort is made to provide staff required for patient care needs.  Keeps Resource Pool/Staffing Coordinator, Vice President of Clinical Services, Directors, and House Supervisors informed of communication from associates on staffing/ scheduling concerns.  Works closely with Information Technology to assure accurate daily and monthly reports.  Hours worked by associate, and census are entered accurately and verified for previous 24 hours on a daily basis.  Updates staffing system on annual basis according to budget.  Complete hours for Nursing Units on nursing work schedules (4 week) within time frame and are accurate.  Daily staffing sheets are accurate.  Hour changes are completed accurately and timely. Daily reports are completed accurately on a timely basis.  Works with Nurse Managers, Directors, and Information Technology to complete records.  Ability to implement new staffing/scheduling ideas.  Educates staff (Nurse Managers, Directors, and associates) on current staffing system and methods of determining staffing/scheduling within budget limits.


Qualifications

Previous experience in staffing/scheduling in a hospital preferred.

Previous experience in working with computer, statistics, typewriter, productivity and time studies analysis.

Associate degree in business, secretarial, human resources or related field or two years related experience preferred with knowledge of scheduling and timekeeping.

Ability to interrupt departmental and hospital policies and procedures.

Strong conflict resolution, critical thinking and interpersonal relationship skills.

Ability to read, write, and speak English.

Previous experience in staffing/scheduling in a hospital preferred.

Previous experience in working with computer, statistics, productivity and time studies analysis preferred.

Able to meet the physical demands as described in the Human Resources Department.
