A growing privately held company in the South Bay is working with Gary Daum of Robert Half Finance & Accounting to find the ideal candidate to become the company's Payroll Supervisor. The Payroll Supervisor will oversee and supervise the organization's payroll functions, ensuring that pay is processed on time, accurately, and in compliance with government regulations.
Responsibilities: Oversee and direct global payroll procedures Ensure compliance with applicable laws and payroll tax obligations Enhance Global systems to process payroll account transactions (e.g. salaries, benefits, garnishments, deductions, profit sharing, sales commissions taxes and third party payments) Manage quarterly sales commission plan and profit sharing plan calculation processes Prepare and distribute annual sales commission plan agreements for individual sales representatives Coordinate timekeeping and payroll systems Ensure the accuracy of foreign currency payroll calculations for multiple global subsidiaries Oversee processing of payroll changes (e.g. new hires, terminations, raises) and system upgrades Maintain paid time off ledgers Book all payroll related journal entries and transactions into the general ledger Mange workers compensation insurance audits and policy renewal Liaise with auditors and manage payroll tax audits Collaborate with People Operations and accounting teams Maintain accurate records and prepare reports Ensure compliance with applicable 401(K) regulations, including ERISA and DOL requirements Ensure accurate preparation and distribution of year-end reporting documents such as W2’s and 1095’s Resolve issues and answer payroll-related questions Manage all People process compliance activity for the entire company Collaborate with management team to make sure that the entire company is aware of compliance requirements and issues Document and maintain detailed written processes and procedures for all payroll desktop and control procedures Develop internal controls and policies designed to ensure that all compliance needs are met Stay abreast on all employee-related legislative and regulatory changes and/or developments, and ensure changes to rules and regulations are restructured with HR systems, policies, articles, and practices Research changes in laws and regulations analyze their impact on the organization and communicate findings to stakeholders Responsible for preparing and delivering compliance-related training and communications to employees Carry out employee relations investigations as requested by the business Collaborate with other functional areas like Legal and other stakeholders in the delivery of compliance programs and training to employees Discreetly handle sensitive employee reports or information Other duties, as assigned to support Finance and HR functional areas Familiarity with payroll software/ HRIS (e.g. Rippling) and Microsoft Office (especially Excel) A keen eye for detail An analytical mind and good math skills Outstanding communication skills (written and oral) Organizational and leadership skills Global payroll systems/vendors required
Proven experience as a payroll manager or similar role Current knowledge of payroll procedures and related laws Excellent understanding of multi-location payroll and taxes NetSuite ERP experience (preferred) Bi-Monthly Payroll BS/BA in Business Administration, Accounting, Human Resources or related field; professional certification (e.g. CPP, CPM) is a plus Four+ years of experience in payroll processing required with two years in a supervisory or management role preferred.
