Vizient® Manufacturing Solutions is a robotic integrator specializing in custom engineered tooling and automated arc welding systems for general and heavy fabrication applications. Position Summary:

This administrative support position is responsible for customer order processing, customer invoicing, and generating recurring reports pertaining to the status of the orders. This involves continuous communication with the Spare Parts & Service group, Business Development group, and Project Management group, as well as communication with customers.


  • Support incoming customer order processing and project invoicing with a high-level of accuracy;
  • Support and troubleshoot project set-up and project cost tracking;
  • Respond to invoice-related requests from the customer;
  • Work with Service & Spare Parts to actively manage and process orders;
  • Organize service activities from quote phase to invoice phase;
  • Document service reports in service tracking software;
  • Document service jobs into project management software;
  • Help expedite and coordinate critical “hot” jobs throughout departmental processes / procedures;
  • Provide administrative support for Service and Electrical; and
  • Perform other job-related duties as assigned.

Experience / Skills:

  • Excellent verbal and written communication skills with the ability to interact at all levels of the organization;
  • Detail-oriented and solid organizational skills;
  • High level of curiosity and self-motivation;
  • A high sense of urgency;
  • Ability to multi-task and manage competing deadlines;
  • High school diploma, GED or equivalent degree required;
  • Previous administrative work and / or college coursework preferred;
  • Intermediate proficiency in MS Office, specifically Excel and Word;
  • Ability to adequately manage workload under pressure; and
  • Team player with useful organizational and time management skills.

Nonessential Skills and Experience:

  • Safety (OSHA, SDS), ANSI (RIA) standards.

Specific vision abilities required by the job include close vision, distance vision and the ability to adjust focus. 
  • Work environment: The noise level in the work environment is usually low.
