Job Description

Description
Position Purpose:

Responsible for administrative support to the Vice President of Advanced Technology Group (ATG). Duties will involve general administrative functions such as the orderly planning of meetings, assisting in the preparation of presentations, as well as responsibility for managing assigned department-specific processes and files. Also provides administrative support to the employees of the Advance Technology Group.
Essential Functions:
•Prepares and manages documents including memos, letters, reports, and presentations. Document preparation and management requires use of PC tools such as MS Word, Excel, and PowerPoint.
•Responsible for reconciling charges of the purchasing credit card for the department and submits month-end authorization requests to the Vice President of ATG for payment.
•Administers the delegation of authority for P-Card usage ensuring a properly signed purchase requisition is in place before allowing any employee to use the P-Card for purchase.
•Maintains records of all P-Card transactions including requisitions, receipts, etc.
•Enters and maintains procurement requisitions, track purchase orders and Enterprise Asset Management deliverables.
•Answers switchboard in a polite and professional manner.
•Greets and directs guests/visitors in a professional manner.
•Coordinates, prioritizes, and disseminates incoming mail and fax information.
•Schedules and plans meetings and appointments; includes coordination of arrangements for conference space and food, if necessary.
•Establishes and maintains an effective and well-organized records retention system, and a follow-up system for action items.
•Coordinates domestic and international travel arrangements for Hendrickson employees.
•Orders and maintains supplies (office, safety, cleaning) within the budget constraints.
•Works with vendors to complete forms and paperwork, including W-9s, Ethics Statements, and procurement related paperwork.
•Coordinates service vendor schedules i.e. inter-company mail, waste removal, cleaning, etc.



Qualifications
Education and Training
•College degree is a plus

Minimum Qualifications
•3-5 years of experience in administration
•Superior PC skills to include Word, Excel and PowerPoint
•Ability to work effectively, efficiently and professionally with all levels of the organization
•Professionally poised and able to handle highly confidential information
•Ability to prioritize, organize, and complete multiple tasks and responsibilities
•Strong written and verbal communication skills
•Sound judgment in decision making and establishing priorities
•Proactive and eager to make improvements in systems and procedures
