Mission Supports the Chief Executive Officer of E15 and the Chief Creative Officer of Levy Major Areas of Responsibility * Schedule Management * Day-to-day management of the calendars for the executives, including meeting scheduling and liaison with other administrative assistants * Liaising with clients at a high-level on behalf of the CEO and CCO * Ensures that meetings, presentations and other duties are carried out seamlessly * Books business travel to ensure that specific travel requirements and low fares are accommodated * Manages travel schedule to proactively handle travel disruptions and any travel changes needed Staff Management * Scheduling team and staff meetings for CEO and CCO * Scheduling and facilitating on-boarding of new employees in E15 Office Management * Answers incoming calls using proper etiquette and thorough documentation and prompt distribution of messages * Provides professional clerical support including filing, copying, and scanning of documents * Processes invoices, expense reports and purchasing card statements on a timely basis * Manages office supplies and ordering for E15 office space * Manages office space, including but not limited to, coffee, fridge, general cleanliness, building issues, etc * Organizes appropriate location, set-up and communication for meetings; including board meetings, meetings, off-site meetings and client meetings. * Facilitate organizing notes, gifts, cards and awards when needed Overall Management * Promotes a cooperative work climate, maximizing productivity and morale. * Fosters strong relationships with operations by making accessibility and responsiveness a priority. Job Requirements * Excellent and professional writing and verbal skills * Experience working at Executive Assistant level with senior management and senior level clients * Ability to manage complex and highly confidential information * Ability to work autonomously and across multiple tasks and reporting into different project teams * Knowledge of MS office applications, including Word, Excel and Outlook * High degree of personal organization and self-management
