High School Partnerships Program Coordinator
Central Washington University is recruiting a Program Coordinator to join our High School Partnerships team in Ellensburg, Washington. This role is an important member of our team as they provide coordination and support for the High School Partnerships department, which the includes Running Start and College in the High School programs, for the University. The role is a campus-based position, which means you get to see the lives you are impacting. We're offering a salary, depending on experience, from $41,724 - $55,584 annually plus the awesome CWU benefits.

The High School Partnerships office oversees the Running Start and College in the High School programs for the university. We serve 12,000+ students in College in the High School and 375+ in Running Start. Both programs are Concurrent Enrollment programs, meaning the students are still in high school while they are earning college credit. Running Start means the students come to the CWU campus to take courses and College in the High School is where they earn credit at the high school, from approved high school teachers.

The Role:
The position provides program support to the Office of High School Partnerships. Advises students, staff, program participants and/or the public regarding program content, policies, procedures and activities for both Running Start and College in the High School. Promotes both Running Start and College in the High School on campus and with outside organizations and attends meetings as a program representative regularly confers with representatives of off-campus organizations and agencies regarding the interpretation and implementation of programs and institutional policies. The position performs clerical duties, (calendar, travel, correspondence, equipment loans, order supplies, make copies, take minutes, arrange events, and answer phones, Records Coordinator) as well as program specific assignments (communicate program services and procedures to patrons, assist with program accreditation, compile reports/data, update website, process Running Start applications, assist with College in the High School registrations). All employees are expected to support CWU's commitment to diversity and to bring and support inclusion into the university environment.
Job Duties
Program Support:
- Assist students, faculty, and staff regarding program services and procedures.
- Resolve problems and respond to inquiries regarding CWU policies, State WACs and RCWs, and Accreditation standards for both Running Start and College in the High School. Compile data reports for both Running Start and College in the High School.
- Coordinate's personnel issues such as recruitment, selection and appointment
- Create graphics and promotional materials for both Running Start and College in the High School.
- Serve as representative of both programs at meetings and conferences.
- Provide information and advice to students, staff, program participants and/or public regarding program content, policies and activities, recommend alternative course of action; promote the programs with outside organizations.
- Confer regularly with representatives of off-campus organizations and agencies regarding the interpretation and implementation of program and institutional policies.
- Attend off campus events to promote both Running Start and College in the High School.
- Maintain files/records for both Running Start and College in the High School.
- Assist with Running Start Book Loan Program.
- Assist with Running Start and College in the high school communications. This will include mass emailing services and website development and upkeep.
- Assist with College in the High School registrations.
Clerical Duties:
- Answer multi-line phone.
- Receive, distribute, and send hard copy and electronic mail.
- Make copies and maintain filing system.
- Independently perform complex word processing tasks such as correspondence, reports, manuals, spreadsheets, and mail merges.
- Order supplies/equipment.
- Maintain schedules for office staff.
- Enter travel authorizations and process travel reimbursements.
- Arrange events, travel, hotels, meals, and registrations for office events held on and off campus. Make travel arrangements for staff attending conferences, seminars or visiting CWU Centers for meetings/university business.
- Schedule meetings, assist in agenda preparation, facilitate web-conference for remote participants, take minutes.
- Perform complex scheduling including independently prioritizing needs of program clients.
- Assist department with general office email inbox and respond to or forward as appropriate emails/correspondences.
- Provide secretarial support to office, coordinates office operations, keeps supervisor's calendar, makes travel arrangements, screens, priorities, and distributes mail; transcribes minutes, screens calls and visitors.
- Program archival and records specialist.
Supervisor Duties:
- Supervise 1-2 student employees.
- Actively engages in recruitment and hiring new employees.
- Clearly defines performance expectations, ensure accountability, and provides ongoing informal feedback, coaching, and mentoring. Conducts formal performance evaluations.
- Ensures employees have necessary resources.
- Oversees and directs the work of staff; serves as mentor, coach and leader, and resolves complaints or issues.
- Promotes professional development opportunities.
- Develops and fosters supportive working relationships, motivation and engagement.
- Communicates information to staff on an ongoing basis to influence staff engagement and to be a part of a larger community.
- Takes corrective action in a timely manner.
- Recognizes and rewards employees for good performance.
- Schedules employee work hours/shifts; monitor hours worked; approve payable time and absence requests.
- Adjusts leadership style as needed to achieve results.

Minimum Qualifications
Experience coordinating programs/projects/activities.
Experience and/or training that demonstrates the ability to use Word, Excel, Access, PowerPoint, Publisher, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive and respond to e-mail inquiries, tasks, etc.
Demonstrated ability to perform independently and as a strong team contributor.
Ability to effectively organize multiple work assignments, involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines.
Ability to provide excellent customer service including listening to customers, identify issues, provide options, fulfill services and exercise knowledge of procedures to assist others.
Demonstrated willingness and/or experience working with students and/or co-workers from a wide range of abilities, backgrounds and experiences.
OR an equivalent combination of education and experience which clearly demonstrates the ability to perform the essential functions of the job.
Preferred Qualifications
Experience working in higher education with students, staff, faculty and administration or comparable business setting.
Prior experience with dual/concurrent enrollment programs.
Demonstrated commitment to improving access to higher education for students through various activities.
Life experiences that demonstrate an ability to contribute to CWU's commitment to inclusion and diversity.
Speak, read, and write Spanish fluently.

Pay, Benefits, & Work Schedule
Salary: This position is based on the range 40 of the Washington State Classification Listing, which has a minimum annual salary of $41,724 and maximum annual salary of $55,584. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidate's current experience, education, skills, and abilities related to the position.
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required
