OfficeTeam is actively seeking an Administrative Assistant for a large organization here in Reno, NV . This Administrative Assistant provides administrative assistance- managing calendars, creating call schedules, coordinating meetings and travel arrangements, general ledger reconciliation, grant proposal support, handling purchasing, correspondence, as well as assisting with preparing teaching materials. The Administrative Assistant will interact with all levels of the institution responsible for coordinating and completing projects, mailings, and special events as needed.

Job Requirements

-Organizing and scheduling meetings and appointments -Corresponding (in person, via email and by phone) with internal and external partners -Organize, prioritize and coordinate multiple work streams and meet deadlines -Manage the calendar, answer calls, travel arrangements, CRM database, documents, etc. -Assist our team by organizing, tracking and occasionally generating clients renewals -Coordinating travel/events -Scanning, printing and photocopying -Positive can do attitude and willing to follow through and do what it takes to get the job done -Assistance with other administrative/office management projects as needed -Organize agendas, action items for client meetings -Provide general support to the administrative team, as needed -Build efficiency and effective responsiveness into new and existing operations, and help define new operational strategies; use initiative and judgment -Experience with Microsoft Office Suite including Word, Excel, PowerPoint and Outlook -Time management skills; ability to multitask and prioritize -Excellent communications skills: both written and verbal -Outstanding organizational and planning skills -Detail oriented, driven, able to self-organize and comfortable with ambiguity -Resourcefulness and initiative -Friendly and detail oriented demeanor -Willingness to accept additional responsibilities and assist others as needed -Calm, cool, and collected under pressure -Able to handle confidential information with discretion
