Job Description

Executive Administrative Assistants are comfortable working in a fast-paced, dynamic environment and are able to adapt to changes in priorities. In this role, you will work seamlessly with the IT Program Leadership team to proactively manage schedules and meeting logistics. As an EA you will perform a variety of tasks, with a focus and a priority for attention to detail and professional discretion. This position affords the opportunity to grow with the business. 

Responsibilities include: Preparation of travel reservations, expense statements and data input into various company systems 
• Proactively manage calendars and meeting logistics 
• Action item tracking, including communication with management to ensure leader's priority actions are identified and worked 
• Coordination of Finance All Hands meetings, overseeing logistics at all IDS US based sites 
• Coordination of IT Support, and arranging VTCs/conference calls 
• Coordination of employee moves and records management 
• Compilation and submittal of Quarterly certifications 
• Generate charts, tables, memoranda, reports, correspondence and other materials with speed and accuracy utilizing computer desktop and web-based applications 
• Engage with senior level customers (internal and external) and handle confidential and non-routine information 
• Collaborate with others to prioritize work to manage task deadlines and due dates 
• Arrange catering service and conference room reservations for on-site and off-site meetings 
• Maintenance and order of office supplies 
• Proactively making recommendations for improved efficiency in administrative management of the team 
• Assisting and supporting leader's direct reports with certain administrative tasks (logistics for meetings, IT support, calendar management, travel arrangements and reconciliation of expenses) 
• Execution on special projects as required 

Required Experience: 
• 6+ years of professional administrative experience supporting a leadership team members 
• Experience prioritizing tasks associated with a large diverse organization 
• Demonstrated organization skills, ability to manage multiple tasks, problem-solve and resolve scheduling conflicts when necessary 
• Ability to provide clear and concise written and oral communications 
* Expert experience, knowledge and proficiency of Microsoft Office applications (Word, Excel, PowerPoint, Outlook etc.)
