Executive Assistant - Hybrid

CB Est Salary: $66K - $90K/Year
We're NFP, a six-time Best Places to Work award winner in Business Insurance for 2017-2022. We're looking for an Executive Assistant to be responsible for enhancing our Managing Director's effectiveness by performing a wide variety of complex, diverse, sensitive and confidential administrative functions while providing overall gate-keeping and information management support.

This is a hybrid position with in-office flexibility 2-3 days a week.

Essential Duties and Responsibilities

* Schedules, maintains, and manages an extremely active calendar of appointments working closely and effectively with to keep the Managing Director well-informed of upcoming commitments and responsibilities.
* Arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
* Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, and other tasks that facilitate the Managing Director's ability to effectively lead the company.
* Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Managing Director, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response. Follows-through on projects to successful completion, often with deadline pressures.
* Plans, coordinates, and ensures the schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Managing Director's time and office.
* Prioritizing client requests & inquires.
* Communicates directly, and on behalf of the Managing Director with clients, prospects, internal staff, and others.
* Prepare printed materials for client presentations and meetings; including but not limited to PowerPoint presentations, correspondence, agendas, and meeting notes utilizing appropriate company templates.
* Composing and preparing correspondence that is sometimes confidential for the Managing Director
* Completing monthly expense reports & credit card reconciliations.
* Maintain the CMR system as needed.
* Manage special consulting projects as assigned.
* Miscellaneous projects and other duties as assigned.

What We're Looking For

* Strong organizational skills and ability to prioritize tasks
* Ability to interact well with internal and external customers, vendors, and government agencies
* Attention to detail
* Ability to maintain strict confidentiality in regard to work performed
* Ability to multi-task and adjust to changing priorities in a fast-paced environment
* Ability to anticipate and meet deadlines
* Excellent Microsoft Suite - Office, Word, Excel, PowerPoint & Access skills
* Proficiency with Internet software and ability to research and retrieve information quickly
* Proficiency with office equipment, such as copiers, binding machines, and multiline phones
* Understanding of departments, Company and team's role in the organization

Education and/or Experience

* 3 years experience as an executive or administrative assistant
* College degree or equivalent industry-related experience preferred
* Insurance or financial services industry experience preferred
