Primary Responsibilities:

  • Open & Close Office
  • Deliveries that come in through the day (stop and log them in & let the person know they have packages or take them)
  • Travel/Rentals-Laura, Sheba & PBM’s
  • Expenses- Laura & Sheba’s
  • Supplies/coffee-Making sure everything is in stock and order any supplies requested
    • Go to Sams (Coke’s, water, plates etc)
  • Organization & Cleanliness of entire office *liaison for Western Janitorial
  • Put in Facility Help Desk tickets for office issues/furniture needed
  • Network Management Committee Mtg (NMC) -collect all contract through the month, put them together before meeting
    • Send out approved and denied contract to contracting team
    • Get any missing Information or documents needed (monthly)
    • Point of contact and send out info on how to become a provider
  • PCC- get all sign in sheets in PCC link, take role for all doctors and create invoice, send it out to Acct Payable (monthly)
  • Report/take care of- cleaning fridge, cleaning spills, restocking, maintenance request,
  • Printer issues (trouble shoot, request service call, make sure machine is working), reload paper & toner as needed
  • Check printer throughout the day and give faxes to appropriate person
  • PICs (Provider Information Change Form on ePRG)- All provider changes that need to be done
  • Mail- collect and send out mail
  • Lunch Orders- For PBMs & EP Leadership mtgs as needed
    • Buy cake, flowers, card for events
  • Scheduling Events- MSM’s (market success mtgs), Learning Summits, any WellMed gathering (book halls, go over menu, make menu labels, request studio equipment or what is needed, follow up make sure it’s all correct) *need prior approval for items over $2,500 from Joe Zimmerman
  • Strategic packages- print and sort
  • Assist in getting preparing documents for Market Meetings such as MSM, Learning Summits etc.
  • Interviews- schedule for team as needed
  • Hold Calendar for conference room & coordinate booking conference room for Office  
  • Set Up Web Ex for meetings
  • Certified Mail as needed
  • Answer the phone- filed calls/assist caller, transfer as needed to correct department
  • Process Honorariums
  • Go into Right Fax daily and pull and sort all faxes. (Fwd to appropriate PBM and/or print out to mail or have PBM drop to correlating PBM)
  • Account Payable items
  • Minutes for Meetings as needed
  • Fill out project plan updates as needed for events
  • Assist NM staff w/ copying, presentations, faxing etc.

Projects in between work:

  • Health fair shirt order/snacks purchases (Getting everyone’s size, give correct count to vendor. Make sure to stay communicated so shirts are done on time)
  • Learning session-book drs flights & coordinate travel
  • Take RSVP
    • Events (Holiday, WellMed functions)
  • Other Duties as Assigned/Needed

Required Qualifications:

  • High School Diploma or GED
  • 2+ years of experience of proficient use of Microsoft Office to include Excel, Word, and PowerPoint
  • 1+ years of experience of facilitating meetings, recording meeting minutes, identifying/managing action items, and developing agendas
  • 1+ years of experience managing and coordinating travel arrangements, lunch orders, RSVPs and sorting/delivering mail
  • 1+ years of experience managing an office to include open/close, office supplies, checking printers, organization, and cleanliness
  • Bilingual (Spanish)
  • Microsoft Office experience to include Excel, PowerPoint, Word

Preferred Qualifications:

  • Event Planning Experience
  • Accounts Payable Experience
  • Invoicing Experience
