About The Ridge:

The Ridge Behavioral Health System is seeking a dynamic and talented Receptionist. Located in Lexington, KY, the heart of the Bluegrass, The Ridge Behavioral Health System offers a healing environment that is reassuring to a patients’ sense of security and confidentiality. Dedicated to excellence, The Ridge Behavioral Health System is accredited by the Joint Commission on Accreditation of Healthcare Organizations, as a licensed, 110-bed hospital, providing psychiatric (mental health) and chemical dependency (drug & alcohol rehabilitation) services to children, adolescents and adults. Inpatient care is provided on a 24-hour basis, seven days a week. Outpatient and partial hospitalization services are provided on a six-day per week basis, days and evenings. Position Summary:

Answers and directs all incoming calls. Signs in and checks out all visitors, patients and guests. Communicates with Assessment when clients are here for an assessment, when they begin and complete paperwork. Makes required copies, as needed. Posts all outgoing mail. Sorts incoming mail.

Position Specific Competencies:

 Consistently communicates within boundaries of confidentiality policies and procedures with all patients and visitors.

 Demonstrates a thorough knowledge of basic organization services and sites of operations, times and dates of routine events and other essential information typically sought from callers and visitors.

 Information provided is consistently accurate and clear.

 Seeks input and clarification from appropriate staff or resource when unclear or unaware of information being sought.

 Responds politely and helpfully when information being sought is unavailable.

 Consistently notifies specific department staff of patient’s or visitor’s arrivals (Human Resources, Business Office, Social Services, etc.).

 Speaks in a pleasant, courteous and clear manner.

 Makes announcements on overhead speaker in a pleasant tone and clear, audible manner.

 Promptly makes eye contact with and greets clients and guests in a pleasant, courteous and clear tone of voice upon presentation.

 Records and routes telephone and in-person messages accurately, completely and promptly.

 Follows correct procedures if callers or visitors display threatening or other potentially dangerous or disruptive behaviors.

 Demonstrates knowledge of the organization’s various emergency codes response procedures; calls codes on overhead speaker system correctly and audibly.

 Verifies completion of checklist each morning from the end of shift from the previous day. Addresses any problems promptly and communicates problems with manager if necessary.

 Routes mail pieces promptly and to correct department or individual.

 Promptly notifies appropriate staff member of special delivery or otherwise critical items received.

 Collects money and records all meal sales on appropriate form.

 Collects patients’ co-pays and deductibles; records patient information on receipts to ensure accurate posting for the Business Office.

 Ensures all receipts and checks/cash are placed in secured drawer at end of each shift.

 Verifies receipts and cash placed in secured drawer from previous day are accurate; initials receipt book for acknowledgment that all cash/checks are properly recorded.

 Responds willingly and courteously to requests to provide special assistance to other departments and hospital directors.

 Demonstrates ability to follow instructions related to special projects, including addressing envelopes, posting mail, collecting/collating documents, distributing meal tickets and organizing copy projects.

 Ensures clerical work is passed to second shift when unable to complete on 1st shift.

 Correctly and promptly directs applicants to online career center to complete online application.

 Answers routine questions regarding employment to prospective candidates, referring difficult or sensitive questions to Human Resources.

 Is able to diffuse hostile or distraught individuals who contact the organization for potential assessment services.

 Demonstrates ability to put caller, whether by phone or presenting in person, at ease while waiting for Needs Assessment staff member to become available.

 Is able to remain calm and in-control when having trouble transferring an assessment call.

 Fully completes Assessment Log.

 Notifies Assessment as soon as possible when client presents for an assessment.

Job Requirements

Education

• High School Diploma or G.E.D is required.

Experience

• One to two years prior experience preferred. The first shift receptionist must have two years of

Experience.

Certifications/Licensure

• None.

Other Skills

• Requires knowledge of general office and phone skills as well as excellent organization, written and verbal communication skills.

• Must have legible handwriting.

• The ability to handle confidential information and to maintain a pleasant and congenial attitude at all times.
