Job Description

Ultimate Staffing is currently seeking an Administrative Assistant for a prominent law firm in Howard County. The firm is within walking distance of restaurants, shopping, and fitness centers! Pay rate is based upon experience but ranges between $35,000-$40,000 annually [direct hire or temp to permanent potential]. This organization is seeking an individual who is interested in growing with the firm, and who is looking for a launchpad for their professional career.  This position requires an individual with a high-level of self-motivation, a strong sense of responsibility and has demonstrated ability to multi-task and perform tasks independently. This position regularly handles matters of a highly confidential and sensitive nature. We are proud to be the only staffing company recognized with all the industry's top awards.  Responsibilities:    • Answering phones, greeting visitors and creating a welcoming and professional atmosphere  • Assisting with the scheduling, coordinating and confirmation of new client consultations  • Scheduling, coordinating, and confirming client appointments, conference calls, mediations and attorney appointments, reserving rooms offsite when needed  • Drafting and editing routine correspondence and editing/formatting other legal documents in Microsoft Word, Excel and Adobe Acrobat  • Assisting with the administration of internal processes and protocols  • Updating client documentation and information via internal case management systems, Outlook Calendars and client files  • Maintaining positive external client relationships  • Organizing and booking travel for the attorneys and management team  • Coordinating and managing special projects, including those that require working collaboratively with staff, ensuring projects goals and deadlines are met, this includes marketing initiatives and special events  • Assisting with re-stocking and ordering supplies as needed  • Tracking mail, logging and distributing to the team per protocols, assisting with mailing, filing and scanning of legal documentation  • Ensuring shared space and conference rooms are presentable to guests and visitors, coordinating with property management to schedule repairs, etc.  • Other duties as assigned  The minimum requirements for the Administrative Assistant position include: • High School Diploma or Equivalent • Minimum 2 years of experience in a professional environment • Proficient in Microsoft Outlook and Excel  Job Requirements:  • Attention to Detail • Strong Communication Skills  • Strong Interpersonal Skills  • Proficient in Microsoft Systems  • Highly Organized  • Ability to Multi-Task    We are an equal opportunity employer and make hiring decisions based on merit.
