Job Description

POSITION PURPOSE AND OBJECTIVES
The job of the Hearing Support Specialist is to provide administrative support to the Hearings Department and Front Office Administration Team. The Hearing Support Specialist should be familiar with standard practices and procedures within their job role. The Hearing Support Specialist will be responsible for administrative duties such as the following: processing incoming mail, sorting, batching, scanning, faxing, typing correspondence, and email communication to clients for unemployment hearings and hearing determinations. The position requires an individual who can work in a fast-paced, time-sensitive environment.
ESSENTIAL JOB FUNCTIONS
  • Receive and process incoming mail daily
  • Sort decisions daily
  • Analyze and review each decision to determine win, loss, non-charge, monetary, non-scans
  • Batch decisions for indexing to Onbase
  • Provide support to assigned Hearings Analyst team to include: processing all unemployment hearings to be sent to clients via email, fax, or shared file, typing correspondence for documentation submission via UPS/FedEx, appeal losses, and appeal wins within (24) hours of receipt
  • Responsible for checking emails and forwarding client questions to Hearing Analysts promptly
  • Escalate client concerns to management
  • Process withdrawal requests at least (1) business day prior to the hearing
  • Check all outgoing faxes (1) hour prior to departure. All pending faxes should be brought to management's attention
  • Keep all hearings and hearing determinations organized in trays or folders
  • Other Duties as assigned


Job Requirements

1 Year Administrative Assistant or Customer Service Experience preferred. Must be proficient in MS Office Suite, Outlook, TNC Claims Management Systems, and Internet.
