Electronic Warfare Systems Engineering Section of the Electronics Integration and Cyber Technology Department in the Defense and Intelligence Division of Southwest Research Institute.
Objectives of this Role:
Support team meetings and taking minutes, creating spreadsheets, approving invoices, updating schedules, overseeing administrative duties, and creating project/process documents
Set up project directory structures, project files, Unit Development Folders, and deliverable tracking setting up/maintaining project tracking tools, assisting with financial and personnel related activities
Develop, manage, and monitor subcontractors to ensure compliance
Sett up material purchasing tracking, travel tracking per customer requirements, invoice tracking, cost tracking, and reviewing project staff monthly project charges in support of monthly status reports
Assist with proposal preparation, whitepapers, budgetary submissions and client briefings as directed
Assist with the preparation and delivery of project deliverables
Daily and Monthly Responsibilities:
Attend all program management meetings and keep records of discussions and actions taken
Assist PM with any administrative duties that are needed to execute the program and track cost schedule and performance information
Set up folder structures for program and maintain. Set up spreadsheets for tracking budgets, cost incurred, commitments, tracking actuals, invoices, labor, material, subcontracts, travel, etc.
Approve material requests, track against spend plan, Approve Invoices for subcontractors, track against plan.
Assist with and advanced spreadsheet development for financial tracking.
Requires a high school diploma or equivalent
10 years experience with Government contracting administration to include contract data items, financial tracking/reporting, and contract setup/monitoring
Excellent communication skills and proficiency in assisting management with problem solving, personnel administration, and time management
Knowledge of Government proposal process and administration is a plus
Experience with Serena Team Track is a plus.
Government Contracts Project Administrative or related duties
Experience assisting with tracking the execution of Government contracts and ensuring compliance
Microsoft Excel, Microsoft Word, Microsoft PowerPoint, & Microsoft Project proficient
A valid/clear driver's license is required
