Procurement Operations Coordinator
Reporting to the Sr. Manager of Procurement Operations, the Operations Coordinator I is responsible for ensuring compliance when processing procurement, requisitions, vendor relations, purchasing card administration, and new account coordination related tasks.
EXPECTED POSITIVE OUTCOMES
- Distribute Agency Purchase orders within 1 business day of execution
- Within 45 days of hire, facilitate Agency Vendor Relations vetting within the scope of the Contact Guidance process
- Administer Agency P-Card training process including training, tools and resource development
- Within 30 days of hire, meet average processing timeframe of assigned task
ESSENTIAL FUNCTIONS
Procurement Services
- Perform Initial Review of requests received in the Agency Contract Management System, work collectively with internal stakeholders to gather needed information within and properly disposition tasks within designated time frames
- Responsible for the timely and accurate distribution, and electronic retention of Agency purchase orders
- Oversee Agency Credit Card program including training, maintaining training tools and resources and request ownership
- Vendor liaison responsible for vendor onboarding, maintenance and document execution as set forth in Agency policies & guidelines
- Maintains high level of confidentiality dealing with partners and stakeholders
- Assist with procurement review as requested by Procurement and Procurement Operations
Administration
- Engage and respond to internal and external business partners as necessary through direct communication, email and/or system to ensure a quality procurement experience by providing solution-oriented communication.
- Maintain accurate and timely documentation of records in compliance with agency policies and guidelines including documentation, data entry, cross system data point match, case notes, and revision of incorrect information
- Maintain supplier data integrity and accuracy across multiple Agency systems
- Work alongside leadership to document and improve processes; update process maps and procedures, and provide technical assistance as needed
- Ensure procurement & contract compliance with all applicable Agency policies and guidelines
- Participate in additional projects and initiatives as requested by Procurement & Contracts leadership team
- Maintain a good working knowledge of local, state, federal and contractual rules and regulations, and incorporate this knowledge and best practices into work processes and program support
KEY SUCCESS FACTORS
- Ability to manage high volume of data ensuring accuracy across multiple systems
- A strong knowledge of procurement policies, procedures and practices including compliance with an ability to apply experience as necessary
- Creative and strategic thinker possessing strong problem-solving skills
- Ability to organize and manage multiple tasks while also executing independently as necessary
- Excellent interpersonal and communication skills; both written and verbal
- Presentation skills, professionalism when presenting to various levels of organization
