Job Description

Provide accounting and finance-related support to the Office of Facilities Planning and Management in the duties as listed below: 
Prepare day-to-day requisitions (both through eAM portal and for project team needs). Work with the facility operations team and project teams to collect quotes, review terms/conditions and convert quotes into active SU purchase requisitions. 
Collect invoices and match to active requisitions, ensuring that invoices are appropriate to the requisition, that blanket requisitions have funding available. 
Reconcile the ledger to the invoice submission ensuring that payables have posted expenditures to the correct PTA funding source. If errors are found, review and submit corrections to the ledger. Periodically review and resolve purchasing holds and outstanding commitments. Be the primary contact for any project team and facility operation related inquiries and escalate to supervisor as appropriate. Maintain desktop procedures and accounts payable supporting documents in electronic filing system (BOX). 
Requirements: 
Education & Experience: High School diploma or equivalent and two years’ work experience. Knowledge, Skills and Abilities: Knowledge of basic accounting procedures. Ability to operate computerized office applications and accounting systems. Ability to clearly and effectively communicate information to internal audiences and client groups. 
Certifications and Licenses: None 
PHYSICAL REQUIREMENTS*: Constantly perform desk-based computer tasks. Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less. Occasionally write by hand, twist, bend, stoop and squat.
