Corporate Event Planner

Shyft Careers Philadelphia, PA Full Time

We’re helping our client connect with a full-time Event Planner to plan and execute their entire suite of corporate events, conferences, and internal functions. The ideal candidate brings 3+ years of relatable experience in a mid-sized or larger corporation and exceptional communication, project management, and coordination experience.

Travel required: 25-30%.

Hybrid on-site requirement at the corporate office in the Greater Philadelphia Area.


Responsibilities

  • Achieve planning goals and objectives for the calendar year in concert with the Executive Team.
  • Vendor management, market research, and contract negotiations for the upcoming year.
  • Ensure all locations and events meet the quality standards set by the organization.
  • Travel required for planning and leadership meetings with internal and external vendors.
  • Regularly partner with the communications team to establish timelines and updates.
  • Monitor RSVPs, payment schedules, and deposits via activity calendar.
  • Communication with internal and external vendors for strategic planning purposes and execution of events.
  • Attending conferences and events as corporate liaison and representative to ensure seamless event day(s).
  • Work with AP/AR financial teams to reconcile final invoices.
  • Maintain vendor files, including contracts/agreements, branding, etc.
  • Track event attendance and reservations, financials, and contract information for compliance purposes.
  • Stay up to date with current industry trends and technologies.
  • Project management and status updates to the corporate leadership team.

Requirements

  • College degree in a relatable field.
  • 3+ years of large corporate event planning experience.
  • Ability to manage several large projects simultaneously.
  • 3+ years of relatable project Management experience.
  • Tech savvy and proficient with Microsoft Office, Google Docs/Drive, etc.
  • Exceptional organizational skills and attention to detail.
  • A service-oriented mentality and execution.
  • Excellent communication skills with internal and external resources, outside vendors, and other partners.
  • Experience with contract negotiations, payments, and building strong relationships.
  • Ability to work independently and productively with minimal direction or supervision.
  • Willingness to travel 25-30%.
