Job Description The Executive Assistant will be responsible for providing executive support to the brand President. The individual serves as a liaison to the directors; organizes and coordinates executive outreach and external relations efforts while overseeing small projects from conception to completion. The Executive Assistant will support the business needs of the wholesale and retail business division of OMEGA. This person should also work well in a team environment and possess strong communication skills as they will be in constant contact with corporate management. This position reports to the Brand President and will be located in Miami, FL
Responsibilities • Manage complex and frequently changing day to day executive calendar • Conserves the President’s time by successfully screening meeting requests for purpose and meaningful content • Provides background information and supporting documents to executive in preparation for management meetings, scheduled appointments and client meetings; coordinates with internal department as needed • Takes notes and distributes agendas, and meeting packages • Prepare end of months reports for HQ management • Responsible for project management functions and special assignments by determining priorities, timelines, monitoring progress, problem-solving and achieving on time results • Maintain, manage and track multiple projects on status tracker • Successfully completes critical aspects of deliverables, including drafting acknowledgements letters and professional correspondence • Disseminates information to management team as directed • Contributes to the overall success of the brand by performing other essential duties and responsibilities as assigned
• Maintain a level of confidentiality while using a high level degree of discretion • Strong written communication skills required. • Experience working closely with senior level executives. • Understanding the Retail and Wholesale environment. • Ability to perform well in a team environment and manage multiple deadline-driven projects. • Must be solution-oriented, with excellent time management, and organizational skills and the ability to multitask. • Excellent computer skills, including proficiency with Office (Word, PowerPoint and Excel) • Ability to process a vast amount of information, while understanding and prioritizing competing business needs. • Flexible personality and quick learner who operates with a sense of urgency.
