Overview of Position:
The Investor Services Team is looking for a detail-oriented and self-motivated individual to assist with the day-to-day operations of the team, which is charged with managing all communications to our investors. This role will primarily focus on inbound call answering and routing; reviewing and routing a large number of inbound email requests to our team mailbox; assisting with tracking those requests to completion; and on the proper maintenance of our contact management system, a vital role in the operation of the team.
Responsibilities will include, but are not limited, to the following:
Email Management. Own and monitor the Investor Services email inbox; Monitor and route inbound mail and email, provide assistance as needed to ensure timely and accurate response to requests. Organize and maintain Investor Services Outlook mailbox folder structures to allow for tracking, searching, archiving, etc.
Phone Support. Primary point of contact for investors calling the Investor Services Team; responsible for answering phone and handling/directing requests and inquiries.
Contact Management System. Supporting maintenance of our contacts database of over 7,000 contacts and updating database information per investor requests when necessary.
Investor Reporting Portal User Assistance. Provide user support to our investors for our investor reporting portal, including on how to log in and navigate our websites, and granting access for new users.
General Administrative Support. Filing, scanning, electronic document storage (using SharePoint and other systems); Outlook calendar maintenance; other administrative tasks for the team as needed.
2-3 years of administrative experience.
Detail oriented, quality conscious with the ability to focus and multi-task in a fast-paced environment.
Excellent oral and written communication skills. This role is required to communicate with investors, investment professionals and managing directors.
Strong interpersonal skills, including phone and email etiquette. This role must maintain a high level of professionalism.
Ability to work with all levels of management and employees in an open team environment.
Technologically savvy with a strong command of Office products. Experience using The Next Round (TNR), SharePoint and/or Salesforce is a plus.
Hard-working attitude, willing to put in the necessary time to get the job done.
