General Clerk II
enGenius Consulting Group is seeking a General Clerk to support the Office of Human Resources Management, U.S. Customs and Border Protection. The General Clerk will provide administrative support services to supplement HR staff at the CBP Hiring Center in Bloomington, Minnesota and the other Talent Management Directorate (TMD) Divisions. Duties: The administrative support and project lead positions are located in an office setting and are primarily sedentary in nature. The following are very brief descriptions of tasks covered under this scope of work. The task items listed below are typical but not intended to be all-inclusive. General Tasks: TMD Divisions provide Administrative/Clerical Services to assist with essential day-to-day HR support to CBP employees and applicants. The administrative services required within the TMD Divisions include: processing personnel actions, staffing call centers, providing administrative services support, assisting with staffing services, and performing electronic records management functions, such as scanning/uploading documents into the Electronic Official Personnel Folder (eOPF) System. (Administrative/General Clerk II) Administrative Services Contract personnel assigned to the Administrative Services function shall perform the following office operations, including but not limited to:
• Receive, inventory, and distribute incoming mail/packages (USPS/UPS/FedEx);
• Collect, sort, stamp, and label outgoing mail/packages (USPS/UPS/FedEx);
• Receive document requests from the field offices; Package and utilize UPS to send materials to the field offices;
• Manage, distribute, and issue new supplies to new hires/contractors;
• Report supply usage and reordering needs to the Mission Support Assistant for inventory and purchase requirements;
• Review multiple conference room schedules daily and schedule requests
• Arrange conference room and teleconferences as needed for events with
• assistance from additional Administrative Staff, assist with refreshments;
• Maintain Government Owned Vehicle (GOV) calendar and usage;
• Keep GOV log book up to date;
• Backup Personal Identification Verification (PIV) Issuer;
• Clean and set up cubicle space for new hires/contractors;
• Conduct inventory of office equipment and supplies;
• Prepare and process travel arrangements;
• Send out calendar invites to attendees;
• Run PowerPoint presentations for meetings and troubleshoot audio/visual issues as they arise;
• Distribute, collect, and compile evaluation forms;
• Assist with other administrative and logistical functions, arranging furniture, inventory;
• Collect, Scan and track training certificates;
• Track required training and recertification due dates for Federal and Contract staff;
• Respond to EEO, FOIA, Privacy requests;
• Prepare, review and reconcile documentation in electronic and/or hard copy format, including editing, updating, consolidating, formatting and manipulating documents in software applications to include but not limited to Microsoft (MS) Word, Excel, PowerPoint, Publisher, and MS Visio.
• Develop and/or improve the quality of existing documentation for technical presentations and statistical reports in support of program management functions. Work products may be in applications including but not limited to MS Word, Excel, PowerPoint, Publisher, MS Visio and Internet browsers. Technical Skills:
• Advanced knowledge and proficiency in Microsoft Office products
• Effective communication skills (both written and verbal) with the ability to prepare and make group/executive presentations
• Resourcefulness, initiative and skill to function in a fast-paced environment
• Attention to detail in goal/task accomplishment with minimal supervision
• Professionalism and the ability to interact effectively with others
• Ability to meet planned and unscheduled deadlines in a timely manner
• All personnel shall be able to work independently. Qualifications
• High school diploma or GED
• 2+ years of relevant experience
• Knowledge of Microsoft Office, Adobe
• US citizenship and English fluency
• Meet DHS Suitability Adjudication and Obtain Clearance. Must sustain said clearance throughout term The ideal candidate will be a self-starter who can work with little to no supervision, be pro-active and able to communicate with technical experts.
