Lease Administrator

Currently seeking a lease administrator to support the CFO for a private property management company, position will handle lease administration and some basic accounting functions. Qualified candidates will have 1-2+ years of lease admin experience within a real estate environment. Please for further consideration.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to, job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.

  • Manage and review final lease information in real estate database (YARDI) and lease files.

  • Manage paperwork corresponding to lease agreements.

  • Responsible for auditing/lease accounting, include generating new lease records and producing timely lease abstractions and input into YARDI.

  • Manage the lease commission calculation and payment process.

  • Manage all lease notes, maintaining critical dates and tickler files.

  • Work with property management to ensure certificates of insurance are current in YARDI.

  • Review the tenant move-in and move-out procedures and ensure lease procedures are followed.

  • Prepare and follow continual audit schedule of all existing lease documents.

  • Responsible for regular review of all lease documents, invoices, and other relevant data to verify that all assessed charges are appropriate.

  • Responsible or move-in and move-out accounting.

  • Prepare receipt and charge batches in YARDI, as needed.

  • Prepare and maintain monthly PGE and Water spreadsheets for tenant billbacks.

  • Prepare monthly rent roll reconciliations.

  • Responsible for the delivery of reports to the financial reporting team and property management team as required by the company.

  • Prepare monthly CAM spreadsheets and all supporting invoice copies for quarterly and annual CAM reconciliations.

  • Perform other related duties as assigned by the CFO and/or Management.

  • Work closely with Thomas J. Culligan, Director of Operations, CFO, Director of Property Management, Director of Human Resources and Project Director in maintaining smooth operation of Culligan Management Company's operations.

  • Miscellaneous tasks such as photocopying, etc. as needed.



  • Bachelor's degree is preferred

  • Must possess a minimum of 2 years of experience in lease administration

  • Extensive knowledge handling real estate leases including handling lease documents are essential - Punctual, reliable and must have strong communication skill

  • Able to work in a team environment and produce quality output under tight deadlines

  • Strong verbal and oral communication skills

  • Self-motivated and strong analytical skills

  • Attention to detail, prioritization skills and time management - Computer literate with proficiency in Word, Excel and Office365

  • Excellent internal and external customer service

  • Able to multi-task and keep track of priorities

  • Yardi Voyager experience is a plus
