Job Summary

This part-time position provides exceptional administrative and technical support to the Family Services programs within the Department of Community Resources. The primary function of this position is to provide office and administrative support by answering phones calls, assisting walk-in customers, and completing data entry as needed.

The City of Lakewood is currently recruiting variable employees for this position. A variable employee is an at-will employee who works in a seasonal or temporary capacity. Their work schedule is based on business need. This position would be a part-time non benefitted position.

Major Tasks, Duties, and Responsibilities

Incumbent is accountable for all duties of this job and other projects and responsibilities may be added at the City's discretion. Employees must be able to perform the essential duties of this job with or without a reasonableaccommodation.

* Provides main front desk coverage at the Wilbur Rogers Center per scheduled hours. Greets clients and provides prompt, efficient and responsive service. Answers, screens, and routes phone inquiries to appropriate staff.
* Assists clients with completing program applications and collecting necessary documentation.
* Processes childcare payments in RecTrac and assist client with their household accounts.
* Enters data into ChildPlus software to generate reports and help monitor compliance for Head Start program.
* Processes payment request vouchers for vendors and staff.
* Serves as group timekeeper for division staff
* Completes other administrative duties which may include photocopying, scheduling meetings and reserving conference rooms, creating memos and letters, responding to emails, processing reports, updating forms, reporting maintenance requests using the Cartegraph system and ordering office supplies.
* Accepts all mail/packages and distributes them to appropriate staff.
* Requires regular and prompt attendance.

Essential Qualifications

Education: High School diploma or equivalent

Experience: Minimum of two years administrative experience; strong customer service experience and strong computer and data entry experience. Knowledge of RecTrac (VSI) preferred but not required

* Ability to effectively manage and complete multiple tasks simultaneously despite frequent interruptions while maintaining a high level of customer service and professionalism.
* Ability to maintain a high level of confidentiality.
* Ability to deal with frustrated or upset individuals.
* Excellent verbal, written and organizational skills required to effectively communicate with clients, staff and parents.
* Ability to work independently and as a team member.
* Schedule is flexible to ensure front desk is covered during program hours.
* Bilingual language skills in Spanish and English preferred.

The failure to work in a safe manner, use PPE, follow standard operating procedure or comply with a safety rule will result adverse employment consequences ranging from verbal discipline to termination from employment, including any applicable reduction in benefits under the Colorado Workers' Compensation Act. Employees are also expected to encourage safe work practices by all co-employees, and to report any unsafe work practices immediately to a supervisor.

LIGHT WORK: Exerting up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work

Must successfully complete and maintain required state or departmental physicalstandards and certifications.
