Job Title: Associate Director of Financial Aid

Classification: Exempt

Reports to: Director of Financial Aid

Job Summary/Objective: Sweet Briar College seeks an Associate Director of Financial Aid to assist in coordinating, planning, and overseeing the application and award processes of financial aid for undergraduate and graduate students; coordinating veterans' benefits; and supervising a staff consisting of a full-time Senior Financial Aid Counselor, Student Employment Coordinator and one student worker. This position directs the administration of financial aid; ensures applicants receive assistance in the application process for loans, grants and scholarships. The Associate Director also makes awards to current and incoming students while adhering to Title IV regulations, state and federal guidelines, private non-profit agencies, institutional packaging policy and budget parameters.

Position Type/Expected Work Hours: Monday-Friday 8:30 5:00 pm. May work extended or non-standard hours based on project or business needs. Ability to work occasional nights and weekends required.

Supervisory Responsibility: Senior Financial Aid Counselor, Student Employment Coordinator, and others as assigned

Essential Responsibilities:

Directs all financial aid functions with the purpose of enrolling and maintaining a diverse student body and institutional eligibility for continued participation in Federal and State aid programs.

Creates and maintains a customer service based focus for the Office of Financial Aid and coordinates efforts with the College Business Office, Registrar, Information Technology, Admissions, Deans Office as well as other offices on campus.

Directs the administration of financial aid; ensures applicants receive assistance in the application process for loans, grants and scholarships. Makes awards to current and incoming students while adhering to Title IV regulations, state and federal guidelines, private non-profit agencies, institutional packaging policy and budget parameters.

Oversees the administration of private, state, and/or federal loan programs; coordinates the awarding of need-based scholarships/grants and the renewal of merit-based awards.

Directs the completion of federal work college reports and determines eligibility for students.

Directs the completion of reports to request funding, document expenditures or marketing. Reports include but are not limited to FISAP, IPEDS, WWC Fact Book, Pell, direct lending and marketing reports such as Peterson, FISKE and US News.

Directs the personnel activities to include hiring, development, training, merit recommendations, promotions, transfers, and performance evaluations.

Plans and directs the presentation and enforcement of policies and forms (i.e. Withdrawal and Refund, Satisfactory Academic Progress Standards, Verification forms, etc.).

Participates in off-campus training when available and as needed. Attends the Department of Education's annual FAS Conference (fall), any Virginia state meeting (usually mandatory). Attends training and professional development meetings as needed to stay abreast of regulations and changes.

Maintains contact with outside agencies to finalize aid for participating students.

Represents Sweet Briar College during audits: Federal Program Review, Virginia State Approving Agency, Virginia Higher Education Assistance Authority, Department of Veteran Affairs, and the annual external audit prepared for the United States Department of Education and the Commonwealth of Virginia.

Works with the Director of Financial Aid to review appeal cases, special circumstances, and college-wide financial aid policy.

Serves on institutional committees as needed.

Develops, maintains, and works within a realistic budget, with specific attention to contract work for special projects and ongoing department needs.

Reconciles credit card statements, collects and submits all departmental check requests to the Business Office.

Required Qualifications:

Bachelor's degree in business or finance or related field.

Three to five years of experience in financial aid processing in a higher education environment.

Evidence of knowledge of Title IV guidelines for administration of federal aid.

Demonstrated experience with the technical requirements/participation in Title IV programs and funding.

Two or more years of experience utilizing BANNER.

Preferred Qualifications:

MBA or Masters degree in finance or related field.

Work Environment: Traditional office environment, primarily indoors.

Physical Demands: Extensive computer use required; extended periods of sitting/standing may be required.

Travel: Up to 20% for travel and/or conference attendance or training

Relocation: Limited reimbursement of moving; rental housing potentially available on campus.
