Diamond Healthcare is seeking a competent, experienced, professional, and organized individual for the Administrative Coordinator position to support our Executive Vice President of Operations and the Ops Team. You will manage mostly business related tasks for our team. To do this role proficiently, you should have a detailed understanding of Microsoft Office Suite - Word, PowerPoint, Excel - and have experience as an administrative assistant working in a corporate atmosphere.

This is a full-time, non-exempt position reporting to the Executive Vice President of Operations of Diamond Healthcare Corporation at our corporate office in Richmond, VA.

Basic administrative responsibilities include:

  • Supporting the Executive Vice President of Operations with:
    • Preparation of correspondence/reports.
    • Arranging calls,meetings including video conferencing, and maintaining schedules/calendars.
    • Coordinating travel.
    • Assisting with expense reports.
    • Reviewing and reporting on electronic data systems for the Operations Team.
    • Filing, copying, faxing.
    • Provide telephone coverage for the front desk and general back up support for other administrative positions.
    • Other duties as assigned to support the EVP Operations and the Operations Team.
  • Maintain corporate calendar for Operations Department.
  • Schedule and attend departmental and other related meetings and taking notes as needed.
  • Prepare, track, and publish Monthly Operations Report (MOR) and other reporting duties as required.
  • Oversees data entry and reporting for various electronic databases used by the Operations Division, including DMARS, CRM, MOR, Financial reporting, and contract databases, among others.
  • Oversight activities including adding and deleting users, conducting training for new users, answering questions and help troubleshoot with existing users as well as identifying opportunities to improve functioning and use of these systems by attending the meetings and training to keep current on the database tools and reporting.
  • Assist Operations Division in recruiting and onboarding new staff by working closely with Employee Engagement in scheduling applicants for interviews, providing necessary travel and other instructions for the onboarding process and communicating training and other information for the Operations Division leaders.
  • Provide coverage for other administrative staff in the Corporate Office as needed.
  • Assists all Corporate and Field Staff with other administrative duties as needed.

Requirements:

  • High School Diploma or Equivalent is required. Some College preferred.
  • Previous experience supporting senior level executives, preferably in a medical setting, preferred.
  • Proficiency in Microsoft Office Suite - Word, Excel, and PowerPoint is required.
  • Team attitude
