Administrative Assistant
Novato, CA

Position Summary:
The Administrative Assistant will provide administrative support to our Novato, CA office. Responsibilities will include but are not limited to heavy calendar management, travel, expense reporting, and meetings/event planning; and other duties and special projects as determined.

  • Day to day administrative support for staff as assigned (e.g., Medical Directors in Clinical Sciences)
  • Perform administrative functions (coordinating vendors, filing, storing, printing, mailing, faxing, scanning and binding, etc.)
  • Manage calendar, appointments and meeting requests through MS Outlook
  • Process consulting agreements in Corridor and purchase orders in Oracle
  • Heavy word processing including formatting templates, documents and presentations, proofing, printing, copying
  • Order office supplies specific to department needs
  • Prepare and complete entries into database systems
  • Participate in special projects as needed
  • Minimum of 4 years of administrative support experience, specifically in a fast paced environment
  • Excellent oral and written skills, and proven ability to work autonomously and prioritize workload
  • High attention to detail, excellent organizational skills and the ability to work on multiple projects with tight deadlines
  • Excellent interpersonal and verbal communications skills and the ability to deal effectively with a variety of personnel both internally and outside the company
  • Proficiency in Corridor, Oracle, Concur, MS Office Suite: Outlook, Word, Excel, and PowerPoint
  • Ability to easily and quickly adapt to constant change
