Job Description

The Procurement Assistant will perform a variety of moderately complex specialized technical and administrative tasks including processing Purchasing transactions. Typical work-related activities include: - Review and process documents such as purchase requisitions, purchase orders, invoices, receiving reports and status reports. - Review documents for accuracy, completeness and adherence to procedures. Initiate actions to resolve discrepancies including modifying codes and contacting others to gather additional information. - Enter information into computer system and resolve error conditions. - Maintain files and documentation according to established procedures. Compile data and perform simple math calculations. Generate established computer reports or initiate queries. - Communicate effectively and efficiently with ACT team members and vendors. - Schedule and monitor assigned projects and coordinate with Procurement, Strategic Sourcing, Accounts Payable and Operations team members as applicable. - Review finished products and services for quality control. - Serve as a liaison between ACT stakeholders and vendors in resolving project conflicts. - Maintain shared files regarding suppliers' capabilities, equipment and performance. - Develop and maintain an in-depth knowledge of ACT's Procurement workflow and related Oracle and Salesforce applications. - Participate as a team member of the Procurement Team to advance corporate standards, assist in planning and implementation of projects, share knowledge, and in general achieve the objectives of the unit - Adhere to ACT Corporate Internal Control and Purchasing Policies.

Job Requirements

High School diploma or equivalent, three years of Accounting and/or Purchasing experience; and, an intermediate competency level using Microsoft Word, Excel and Outlook are required. Applicants should possess the following knowledge, skills, abilities and experience: demonstrated competency in using internet web-based applications; Microsoft Windows-based computing system and web browsers (Microsoft Explorer, Google Chrome or Mozilla Firefox); using email and calendar to track and ensure tasks are completed accurately and in timely manner; strong verbal and written communication skills to interact effectively with multiple ACT departmental and vendor based clientele; strong analytical and decision making skills with attention to detail and organizational processes; excellent problem solving and time management skills; and, ability to multi-task in a fast paced, deadline driven environment. In addition, the following knowledge, skills, abilities and experience are preferred: Associate's degree; experience with vendor management I vendor relations; familiarity with Purchasing transactions; and, experience using Oracle Enterprise Resource Planning (ERP) I Management Resource Planning (MRP) software, Sales Force, Microsoft Access and Adobe Reader.
