Correspondence Support Specialist with Security Clearance

Amyx is seeking a Correspondence Support Specialist to assist in managing the correspondence process for DOE's MESC Program Offices. The selected candidate will collaborate with internal and external stakeholders to prepare, coordinate, and track official communications, ensuring timely and accurate responses. This role requires strong organizational skills, excellent communication abilities, and proficiency in managing workflows and documentation. Responsibilities * Collaborate with program offices to create responses for various communications, including letters from: Project sponsors, applicants, industry representatives, interest groups, business associations, State and local governments, Congress, federal agencies, and DOE offices.
* Draft correspondence using standard forms and templates in compliance with procedures.
* Coordinate with the Executive Secretary to meet correspondence requirements.
* Maintain a detailed correspondence tracker for effective process management.
* Attend meetings to provide updates on the status of pending correspondence.
* Prepare and issue official correspondence and certificates.
* Facilitate and maintain correspondence workflows and organize correspondence folders on a shared drive.
* Assist in documenting correspondence processes and procedures.
* Coordinate physical mailings as required and manage document delivery to and from the Forrestal Building.
* Maintain accurate records, administrative dockets, and tracking logs.
* Prepare official correspondence ensuring consistency and accuracy.
* Manage meeting correspondence, including tracking and documenting Q&As in a centralized repository on the SharePoint-based OneMESC platform.
* Must have the ability to communicate accurate information Qualifications Required: * Bachelors degree or equivalent experience in administrative support, communications, or related fields.
* Minimum of 3 years of experience in correspondence or documentation support roles.
* Strong communication skills, both verbal and written.
* Exceptional organizational skills and attention to detail.
* Proficiency with Microsoft Office Suite and SharePoint.
* Proven ability to manage workflows, track processes, and meet deadlines. Desired: * Prior experience in correspondence or executive administrative support for government or federal organizations.
* Familiarity with DOE workflows and protocols for official correspondence.
* Strong ability to work collaboratively across departments and with senior staff.
