Advantage xPO is currently looking for a bright, energetic and friendly Administrative Assistant to support a busy and highly successful Private Wealth Management office within one of the most prestigious global financial services firms. The role is a six-months to one-year contract with high potential for conversion. The ideal candidate would possess at least two years of administrative/operations support experience in a corporate environment.

The responsibilities of a Administrative Assistant working onsite at our client location are: 


•           Tax Assistance

•           Gather charitable acknowledgment letters

•           Pull tax documents from online portals (i.e. Desktop)

•           Complete basis calculations (+ Interns)

•           Review & summarize travel calendars

•           Request Tax Checks

•           Draft response to tax notices

•           Forms Collection & Completion

•           Prepopulate Subscription Documents

•           Complete tax forms (W‐4s, IT‐2104s, IT204‐LLs, etc.)

•           Complete foreign reporting forms (FBARs & FATCA)

•           Prepare Consent Forms & LOAs

•           Other Miscellaneous:

•           Draft Letters of Authorization

•           Request various checks for invoices

•           Create comprehensive logs for various AMs clients (i.e. mortgage logs, tax refund logs, etc.)

•           Maintain a Project Tracker to keep all teams informed of workload

•           Attend team meetings and trainings when appropriate

•           Draft Estate Planning document summaries, when appropriate

•           Handle the processing of Client Matters and potentially begin to develop critical analysis and thinking regarding




Qualifications:

•           Proficiency in Word, Excel, PowerPoint and Outlook required 

•           A minimum of 2-5 years of work experience in a professional corporate environment 

•           Strong written and verbal communication skills 

•           Bachelor's Degree preferred but not required

•           Enjoys working in a team environment

•           Polished communication skills

•           Ability to multi-task and work in a fast-paced environment

•           Experience in the financial services industry

•           Business professional environment and attire

•           Possess critical thinking skills and good judgment

•           Displays personal pride in work, always striving to do his/her best

•           Chooses to always operate with integrity and transparency
