Position Description
Under general supervision, with latitude for independent judgment and initiative, assists in the planning, organizing, controlling and coordinating of administrative and office operations in various organizational settings and modalities in the delivery of business and management support systems, health care and patient support systems. Due to the nature of the role, the executive secretary will have access to confidential information and must deal discretely and appropriately with all information concerning for others.

•Strong written and verbal communication skills.
•Knowledge of operational health care policies and programs utilized in health care settings
•Detail-oriented and strong organizational and follow-through to coordinate work plans, prioritize assignments and meet deadlines
•Ability to adapt to new situations, collaborate with team members, and work under pressure with minimal supervision, when necessary.
•Ability to develop reports and analysis
Detailed Task
•Maintaining COO's calendar by scheduling appointments and meetings.
•Maintains office services by organizing office operations and procedures, preparing organizational charts, controlling correspondence, designing filing systems, reviewing and approving supply requisitions.
•Acts as a liaison between the Department of Operations and Human Resources
•Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the department.
•Performs data entry, reviews departmental information for accuracy and initiates procedures to resolve deficiencies.
•Monitor and order office supplies | Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
•Organizing and scheduling maintenance services to keep the office clean and safe and ensure everything is in good working order.
•Answer phones and greet visitors, directing them to relevant staff.
•Other duties as assigned.
Minimum Qualifications
1. A Master's degree from an accredited college or university in Business Administration, Engineering or Social Sciences, Health Care Specialization, Physical Sciences or related discipline and four (4) years of progressively responsible administrative, managerial and/or consultative experience and background; or
2.A Baccalaureate degree from an accredited college or university in disciplines, as listed in "1" above, and five (5) years of progressively responsible administrative, managerial and consultative experience and background; or
3.A satisfactory equivalent combination of training, education and/or experience. However, all candidates must have a minimum of a Baccalaureate degree in disciplines, as listed in "1" above.
