Job Description

TITLE:                      Float Patient Service Representative

Department:           Medical Staff Services

Reports to:             Clinic Manager

Supervises:             No One

Job Summary

To provide secretarial and reception services to the clinic by greeting patients, scheduling appointments, activating patient files, and moving patients through a predetermined schedule of appointments. To assist in the day-to-day operations of the clinic.

Essential Functions

  1. Welcomes patients and visitors to the medical office by greeting patients and visitors in person and on the telephone; answers inquiries and refers questions to the appropriate staff members.

  2. Schedule Appointments.

  3. Schedule appointments for patients in the clinic.

  4. Schedule appointments for patients referred to another physician.

  5. Schedule procedures for patients as requested by physician.

  6. Assures patient flow by registering patients, verifying appropriate patient information, and checking out patients at end of appointment.

  7. Verifies patient demographic and insurance information.

  8. Utilizes insurance eligibility software to verify the patient’s address and insurance plan.

  9. Obtains and scans any necessary documents and signatures.

  10. Determines and collects any copayment and coinsurance; enters payment electronically and issues patient a receipt.

  11. Manage work queues and follow up reports.

  12. Assists patients with insurance papers and billing questions.

  13. Assists in filling out all insurance forms (disability insurance forms, workman’s compensation, off work and return to work, and social security disability forms).

  14. Assists with obtaining an authorization for office visits, tests, and procedures.

  15. Creates billing episodes as needed for workman’s compensation, liability, auto insurance, etc.

  16. Participates in process improvement initiatives.

Other Duties

  1. Opens and sorts all office mail.

  2. Pulls incoming data off fax machine and gives to the appropriate staff member for review.

  3. Prepare all pertinent documents to be sent for scanning.

  4. Balances and closes the cash drawer daily.

  5. Participates in the medical office emergency routine, whenever required.

  6. Additional duties may be assigned by physician or clinic management.

Qualifications

  1. High School diploma required.

  2. At least two years of recent (within 3 years) Patient Service Representative experience in an outpatient physician clinic or registrations department required.

  3. Ability to work a flexible schedule and increase hours to full time when needed is required.

  4. Ability to adapt to several different work environments.

  5. Working knowledge of medical terminology and procedures required.

  6. Experience with Microsoft Office necessary; Meditech and Epic experience preferred.

  7. Ability to type 30 WPM required.

  8. Excellent customer relation skills essential.

  9. Personality and demeanor to deal with the public and assist ill, older, or distraught patients.

  10. Good sense of organization.
