Sunbelt Rentals--the fastest growing rental business in North America--is seeking a Contract Facilitator. Manage the pre-award review, compilation, and submittal of customer related documents on RFQs, RFPs, bids, and other sales proposals while working closely with Sunbelt Sales and Operations.
Compile, draft and submit accurate and complete proposals to commercial customers as requested and in conjunction with Sales.
Coordinate with Customer Contract Managers in minimizing potential risks to Sunbelt by completing first pass contract review.
Generate better processes and procedures to aid Sunbelt in winning more business.
Complete review of bid package and identify risks or concerns that Sales, Human Resources, SH&E, Operations, Accounts Receivable, tax and other cross-functional teams need to be aware of.
Complete first pass review of commercial contracts as assigned by a Customer Contract Manager or Supervisor.
Serve as the primary point of contact for internal and external contacts for the bidding/award process.
Successfully manage multiple bid review requests and bid due dates with short turn-around times
Coordinate with Sunbelt Sales and Operations to ensure that bids are operationally viable for Sunbelt
Coordinate all necessary work and approvals with Sunbelt departments to respond to contractual requirements.
Develop and submit proposals and bid responses that require the integration of information from multiple internal departments
Maintain a bid win/loss analysis report and assist in growth, dissemination and evolution of report
on award of bid, communicate with other Sunbelt departments to advise them of special contractual requirements for customers.
Ensure the successful handoff of applicable tasks for awarded bids requiring life cycle management to the appropriate Customer Contract Administrator
Utilize Sunbelt’s contract lifecycle management (“CLM”) system (CongaNovatus) to keep track of bids, tasks, events, and for record retention.
Identify areas of concerns within bids and provide recommendations to Sunbelt’s Sales, Operations and/or to Customer Contract Managers for review and approvals.
Develop, implement and maintain a database of standard responses in order to maintain consistency in the way bids are submitted.
Assist in the development and implementation of team process and procedures, identifying areas where efficiencies can be gained and proposing solutions.
All other duties as assigned by Supervisor or Manager.
Education & Experience:
At least 1-3 years of bid review or related experience in the commercial sector required
Ability to thrive in a fast-paced, transactional organization that requires quick thinking and juggling multiple items at one time
Able to advise and interact with all levels of Sunbelt’s organization
Advanced prioritization skills
Excellent analytical and risk management identification skills
Proficient in Microsoft products
Knowledge of Wynne RentalMan System helpful
Knowledge of Contract Lifecycle Management systems preferred, specifically CongaNovatus
College degree preferred
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions including rain, wind or excessive temperatures and/or night and weekend work.
