AR/AP Clerk

Coit Cleaning and Restoration Services Woodinville, WA Full-Time

Under general supervision, following specific instructions and well-defined procedures, performs a variety of clerical and accounting duties of limited scope in support of accounting functions.



Process vendor invoices (accounts payable) on a timely basis. This includes matching purchase orders to invoices, coding invoices.

Batch vendor invoices and submit to Manager for approval.

Processes manual and automated checks, make timely payments

Files paid invoices, maintains appropriate backup

Assists in preparation of monthly expense analysis

Reconciles records and produces reports as required.

Maintains credit application forms and 1099 files.

Addresses and resolves vendor issues.

Demonstrates knowledge of all company products and services

Meets corporate standards for attendance and timeliness.

Maintains effective working relationships and acts in a manner most beneficial to the company.


On a timely basis, makes customer collection calls to ensure collection of all monies due to COIT.

Matches payments to accounts receivable

Prepares bank deposits and makes deposits when applicable.

Enters current data into open Accounts Receivable files, posts to designated accounts.

Prepares customer invoices in an accurate and timely manner, mails or delivers the invoices

Prepares customer statements.

Matches vendor invoices against open purchase orders and obtains payment approval from the General Manager.

Submits bills and payables to Accounting Manager on a daily basis.

High school completion or equivalent.

Accounting experience preferred

Excellent customer service skills

Basic math skills.

Knowledge of Microsoft Office Products (Word and Excel)

Microsoft Dynamics (Great Plains) experience preferred.

Data input experience.

Excellent communication skills.

Excellent customer service skills

Courteous and clear telephone voice

Ability to multi-task

Ability to follow oral and written instructions

Ability to develop and maintain positive relationships at all levels of the organization, with customers and vendors.

This position is primarily a sedentary one. Requires sitting for extended periods of time and using the telephone (with a headset), computer monitor and keyboard. Requires delivery of faxes and mail to various offices. From time-to-time requires climbing a flight of stairs to access stored records. Occasionally requires lifting up to 25 pounds.
