Program Coordinator

College of Health Sciences

The Program Coordinator supports and promotes department operations through the planning and implementation of programs, services, and initiatives that reflect the mission and goals of their respective Department and overall College of Health Sciences (CHS). The Program Coordinator will have an assigned department focus within the College as well as central College responsibilities, which generally include supporting and facilitating the admissions process, student placement and general programmatic / department support. In addition, the Program Coordinator will collaborate with students, faculty and staff to create an environment that upholds and maintains the ICARE values. Exemplifies the Rush mission, vision and values and acts in accordance with Rush policies and procedures.

Position Responsibilities:


* Liaison to prospective students and responsible for addressing student questions and inquiries to the program in a timely manner.

* Coordinate prospective student information sessions, including scheduling and communication to participants and prospective students.

* Plan and facilitate the annual admissions cycle.

* Review candidates in the respective CAS system using defined admissions criteria and maintaining current records within the CAS system.

* Schedule and plan interview dates including prepping all interview materials for candidates, coordinating logistics and set up (either physically or electronically) for each interview day, and collection and organization of interview scores.

* Maintain master score sheet in order to facilitate accept, waitlist and deny statuses for candidates and communicate appropriately with candidates regarding respective status.

* Close the admissions cycle including but not limited to recording interview feedback, making recommendations for improvement and compiling the admissions cycle overview in an appropriate format for the annual faculty retreat.

* Facilitate the programmatic new student orientation and communicate dates and relevant information for the Rush University new student orientation

* Track and communicate student immunization and other record information.

Student Placement/Rotations

* Track and maintain records of student placements internally and externally to Rush utilizing appropriate department procedures.

* If applicable, update appropriate software with student placement information.

* Facilitate scheduling student rotations, preceptor evaluations and provide preceptor feedback to the faculty.

* Communicate with site preceptors and students around placement, start date, dress code and other relevant information.

* Onboard students for rotations ensuring that students complete prerequisites in order to be placed on time.

General Program Support

* Responsible for managing and overseeing all program operational details.

* Serves as main point of contact for active students and faculty within the Program.

* Understand and adhere to programmatic budget for events, equipment and general supplies/invoicing.

* Assist in annual programmatic budget planning as it pertains to events, equipment and miscellaneous supplies required to successfully maintain the program.

* Maintains student information and requirements, including but not limited to student demographics, immunizations, memberships and training.

* Update Castle Branch or equivalent software with student requirement information.

* Maintain and create active student email list serves.

* Facilitate programmatic and college communication with active students.

* Plan and attend faculty and student meetings and events, and produce meeting minutes as needed.

* Manage alumni information and communications to alumni group, along with coordinating alumni events.

* Maintain and organize all programmatic information including but not limited to course evaluations, faculty demographics, catalogue, student handbooks and accreditation documentation.

College Responsibilities

* Provide college support as requested which could include assignment to special projects/tasks, committee work and/or program support.

* Actively participate in the administrative team for the College of Health Sciences.

Position Qualifications Include:

* Bachelor's degree.

* 1-3 years of experience in program development, orientation, student activities and/or event planning; preferably supporting graduate and professional students in a research institution, medical or academic health center.

* Proficiency in Microsoft Office products such as Word, Excel and PowerPoint.

* Excellent interpersonal, collaboration skills and team building.

* Superior written and verbal communication and active listening skills.

* Ability to work independently, multi-task and organize information with an extreme attention to detail.

Preferred Job Qualifications:

* Master's degree.

* Undergraduate or graduate degree with an academic focus in the fields of Health Services Administration or Higher Education Administration.

* Experience with CAS application systems, and EXXAT.
